Overview:
An& Am Law 100 law firm is seeking a highly skilled and organized Administrative Coordinator to join their Washington, D.C. office. This position provides administrative, organizational, and analytical support to the Managing Director of Business Operations and other leadership members across the firm’s business operations, travel, and real estate/facilities teams. The Administrative Coordinator will play a key role in supporting firmwide initiatives, ensuring smooth operations, and assisting with various projects that span multiple departments.

Key Responsibilities:

Provide comprehensive administrative and operational support for business operations, travel, and real estate/facilities teams.

Assist with managing the travel inbox, responding promptly to inquiries, preparing detailed reports, and ensuring exceptional service to firm travelers.

Prepare and maintain high-quality reports, spreadsheets, and presentations, including complex charts, data visualizations, and Gantt charts using Microsoft Excel and PowerPoint.

Coordinate scheduling of meetings, events, and other firm activities, managing calendars and related logistics for multiple executives.

Maintain accurate records, files, and databases, ensuring timely generation of professional reports for senior leadership.

Assist with the development and updating of department policies, procedures, and internal systems.

Handle confidential and sensitive information with discretion, maintaining strict confidentiality at all times.

Support multiple projects and initiatives simultaneously, ensuring deadlines are met and projects are completed efficiently.

Collaborate with cross-functional teams across multiple offices, ensuring smooth communication and project execution.

Adapt to shifting priorities and handle additional projects as assigned, including occasional work beyond regular hours as needed.
Required Skills Proficiencies:

Intermediate to advanced Excel skills with the ability to create complex reports, charts, spreadsheets, and Gantt charts.

Proficiency in Microsoft PowerPoint with experience preparing polished, professional presentations.

Strong skills in Microsoft Word, Outlook, and web-based conferencing tools.

Ability to manage confidential and sensitive information with discretion.

Exceptional written and verbal communication skills, highly organized, detail-oriented, and resourceful.

Strong analytical skills with the ability to identify issues, recommend solutions, and contribute to process improvements.
Qualifications:

Associate's degree required; Bachelor’s degree preferred.

3 to 7 years of experience in a law firm, professional services, accounting, or banking environment.

Demonstrated longevity and consistency in previous roles, showing reliability and commitment.

Proven ability to work independently and as part of a team, managing multiple priorities and competing deadlines.
