Top NJ law firm is seeking a highly capable individual to drive operational excellence, build scalable systems, and ensure consistent execution across the firm. This role is ideal for someone who thrives on creating structure, improving processes, and leveraging technology to make organizations run smarter.

Candidate will work with Firm Administrator and leadership to keep the firm running smoothly, hold teams accountable, and build the operational infrastructure needed for growth. Ideal candidate will have experience supervising teams. Experience in professional services is a must, law firm experience preferred.


Responsibilities Include:

Operations

• Build, refine, and document SOPs, workflows, and operational procedures to increase clarity and consistency across the firm

• Identify inefficiencies and implement solutions

• Create and maintain documentation that supports cross-team alignment and repeatable execution

Execution & Accountability Support

• Drive meeting effectiveness by preparing agendas, tracking action items, documenting decisions, and ensuring follow-through

• Work with the Firm Administrator to hold team members accountable and ensure priorities are executed

• Translate leadership priorities into clear timelines, task ownership, and measurable outcomes

Systems & Technology Enablement

• Oversee the operational health of firm systems - this includes HR and operational software as well as documentation

• Efficient use of AI tools to build simple solutions for operational problems.

People Operations & HR Administration

• Own and improve the employee lifecycle experience: onboarding documentation, role clarity, training coordination, and offboarding

• Maintain consistent HR documentation and decision tracking

• Support managers with tools, templates, and structure that improve performance conversations and team alignment

HR Compliance & Risk Management

• Ensure required audits, renewals, insurance needs, and compliance processes are tracked and completed accurately

• Maintain a structured approach to regulatory requirements and documentation, partnering with outside experts as needed

• Ensure HR practices and documentation align with employment regulations and firm standards

Financial & Vendor Coordination

• Coordinate budgeting support, vendor management, and operational financial reporting

• Maintain relationships with key vendors and service providers to ensure performance and cost-effectiveness

• Support leadership with organized reporting and visibility into key operational metrics

Qualifications

• 5+ years experience in operations or business management; exposure to HR administration and compliance is a plus

• Track record of building systems, writing SOPs, and creating documentation that actually gets used

• Experience building scalable infrastructure: onboarding systems, hiring pipelines, interview standards, internal playbooks — ideally supporting companies through growth phases and founder delegation

• Comfortable holding others accountable and driving execution without formal authority

• Experience managing vendors and external partners — especially technology vendors or project-based engagements

• Able to translate business needs into clear requirements and hold vendors accountable for results

• Excellent written and verbal communication — clear, concise, professional

• Strong judgment and discretion when handling sensitive matters

Technology Requirements

• Expert-level user of ChatGPT or similar LLMs for operational tasks — you use AI daily to work faster and solve problems
