The Recruiting and Operations Manager is a critical, dual-role position responsible for both driving the full-cycle recruitment of qualified healthcare professionals and streamlining the day-to-day operational efficiency of the staffing agency. This role requires a highly organized, detail-oriented leader who can ensure compliance, manage a high-volume candidate pipeline, and optimize office procedures.
Key Responsibilities
Recruitment & Onboarding
- Full-Cycle Recruitment: Execute all phases of the recruiting process for clinicians (Caregivers, RNs, LVNs, CNAs, etc.), including sourcing, screening, interviewing, reference checks, and job offer negotiation.
- Talent Pipelining: Proactively build and maintain a pipeline of pre-qualified healthcare professionals to meet current and future client demands.
- Compliance & Credentialing: Manage the collection and verification of all candidate credentials, licensing, certifications, and background checks to ensure 100% compliance with federal, state, and client-specific requirements.
- Applicant Tracking System (ATS) Management: Own and maintain the ATS and candidate database, ensuring all records are accurate and up-to-date.
Operations & Office Management
- Process Optimization: Establish office workflows, systems, and procedures to ensure efficiency, maintain low time-to-fill, and low administrative costs.
- Reporting & Analytics: Track key performance indicators (KPIs) such as time-to-hire, placement volume, and recruitment spending, and prepare regular reports for leadership using Google Sheets and other Workspace applications.
- Resource Management: Manage office supplies, vendor relationships, and technology needs, ensuring the team has the necessary tools to succeed.
Required Qualifications & Experience
- Education: Bachelor's degree preferred, or equivalent experience in Business Administration, Human Resources, or a related field.
- Experience: Minimum of five (5) years of experience in a recruiting or staffing role specifically within the healthcare industry.
- Technical Proficiency: Minimum of two (2) years of experience using Google Workspace (Gmail, Docs, Sheets, Calendar) for professional workflow, data management, and scheduling.
- Skills: Exceptional organizational skills, strong attention to detail, excellent verbal and written communication, and proven ability to manage multiple priorities in a fast-paced environment.
- Compliance Knowledge: Basic understanding of healthcare staffing regulations, including licensing, HIPAA, and industry-specific compliance standards.
