Job Description: Commercial Real Estate Administrative Assistant
You will be the operational backbone for the Executive Vice President (EVP) of Commercial Real Estate Lending and their broader team. This role requires a blend of high-level reporting, departmental coordination, and proactive administrative support within a fast-paced lending environment.
Key Responsibilities
Reporting & Data Management

Weekly CRE Activity: Prepare and distribute the weekly CRE Activity Report.

Pipeline & Metrics: Coordinate weekly Pipeline Reports and monthly Axiom Reports to track departmental performance.

Loan Coordination: Review Loan Commitments alongside Loan Officers to ensure accuracy and readiness.

Documentation: Collect and track weekly correspondence sheets and distribute portfolio/underwriting reports as necessary.
Departmental Operations

Logistics: Manage departmental time-off schedules via Dayforce and maintain updated Organizational Charts and Employee Directories.

Financial Processing: Accurately process invoices for payment in a timely manner.

Supplies & Events: Order office supplies and curate promotional items for broker visits and offsite events.

Special Projects: Support the EVP with ad-hoc projects and strategic initiatives as needed.
Communication & Outreach

Inbox Management: Monitor the CRE departmental inbox and handle general customer inquiries professionally.

Liaison: Act as a central point of contact for internal departments (Accounting, Credit Center, Loan Servicing, Portfolio Management) and external partners (Mortgage Brokers, Bank’s Counsel).
Qualifications & Skills
Requirements

Education: College degree or equivalent professional experience.

Technical Proficiency: Mastery of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Collaboration Tools: Experienced in using Microsoft Teams, Zoom, or equivalent virtual meeting platforms.
