Are you a highly organized professional seeking a flexible, part-time role where you can make a meaningful impact? We're looking for an experienced Customer Service Coordinator to serve as the operational backbone of our pharmaceutical distribution team.

In this pivotal role, you'll provide essential administrative support to our CEO and Account Managers while managing the day-to-day coordination that keeps our operations running smoothly. You'll be the welcoming face of our company, the problem-solver clients rely on, and the organizational force that ensures excellence in everything we do.

What You'll Do

Front Office & Client Support

• Serve as the first point of contact for visitors, clients, and partners, creating a professional and welcoming environment

• Screen and direct incoming communications, ensuring efficient routing and timely responses

• Research product information and provide accurate pricing quotes to support client needs

• Deliver exceptional customer service that reflects our commitment to excellence

Order & Workflow Coordination

• Manage the complete order cycle: receive inquiries, provide quotes, confirm orders, and coordinate purchase orders with vendors

• Coordinate product returns and recalls with precision and compliance

• Provide backup support for Account Managers, ensuring seamless operations

• Escalate issues appropriately to Account Managers or CEO when necessary

Shipping & Receiving Management

• Receive, process, and track product deliveries with meticulous attention to detail

• Prepare comprehensive shipping documentation for domestic and international shipments

• Coordinate with carriers, freight forwarders, and airlines to ensure timely delivery

• Obtain and verify shipping requirements, ensuring all documentation is complete and accurate

Administrative Excellence

• Maintain organized filing systems and databases for invoices and packing lists

• Manage office supplies and shipping materials, ensuring operational readiness

• Handle miscellaneous operational activities that support the team's success

What We're Looking For

Required Experience & Skills

• Minimum 2 years of relevant administrative or customer service experience

• Advanced proficiency with Microsoft Office Suite and general computer applications

• Exceptional organizational skills with meticulous attention to detail

• Excellent written and verbal communication skills

• Strong customer service orientation with demonstrated interpersonal skills
