Position Summary

The Temporary Sr. Claims Operations Associate supports the Claims Department by performing administrative, technical, and billing-related tasks. This role ensures accurate claim setup, proper documentation, timely invoice handling, and efficient support for adjusters. Ideal candidates may come from insurance, health insurance, or related experience.

Key Responsibilities:

Administrative & Technical Support

  • Gather information from Claims Adjusters to ensure accurate claim data.
  • Assist with quarterly and annual claims-related reporting.
  • Generate specialized internal reports as requested.
  • Scan, upload, and maintain documentation within claims files.
  • Perform accurate reviews and help identify technical processing issues.
  • Provide administrative support including correspondence, photocopying, and document preparation.
  • Serve as a point of contact for procedural and processing questions.

Claims File Handling

  • Research and verify claim numbers, policy information, and insured details.
  • Collect and organize documentation for new or existing claims.
  • Set up new claims in the claims system.
  • Handle incoming calls and inquiries from internal staff, brokers, or insureds.
  • Close completed files and ensure all documentation is properly stored.
  • Act as liaison to external vendors when needed.
  • Manage file documentation and ensure accuracy.

Billing & Payment Processing

  • Review invoices for accuracy and compliance with billing guidelines.
  • Confirm documentation is complete before payment submission.
  • Request and verify W‐9 forms for new vendors.
  • Check for duplicate payments prior to processing.
  • Submit invoices for approval according to established authority levels.
  • Upload invoices into the system for payment routing.
  • Track deductible balances and communicate with brokers, insureds, and claim handlers.
  • Provide reporting on defense costs, file assignment activity, and firm usage.
  • Confirm adequate reserves for pending invoices and coordinate with adjusters.

Other Duties

  • Assist with special projects and process improvement initiatives.
  • Support additional tasks assigned by Claims Operations leadership.

Required Qualifications

  • 3–5 years administrative support experience in:
    • Insurance
    • Health insurance
    • May also consider Accounting, billing or legal support experience/ background or other detail‐driven environment with transferable skills
  • Strong attention to detail and high accuracy in data entry.
  • Ability to manage confidential and sensitive information.
