Purpose of Role
The University Registrar maintains overall responsibility for the maintenance of records (student academic records; historical curricular records). These processes support the quality, security and accessibility of student/curriculum records.
About This Opportunity
Joining our Registrar team, the University Registrar will be responsible for the following:
- Oversee following office functions: a. maintenance of student records; b. registration; c. maintenance of the University seal; d. preparation of schedules of course offerings; e. processing and release of grades (mid term and final); f. preparation of academic standing reports; g. preparation and publication of final exam schedules; h. processing of transcript requests; i. certification for licensure in professional programs; j. collaboration with the Faculty Athletic Representative regarding certification of student athletes for participation in intercollegiate athletics k. maintenance of yearly catalog and curriculum updates l. execute the electronic update of class levels (completed annually).
- Direct involvement and oversee the following:
- Preparation of registration procedures and publication of policies and procedures relative to online registration; b. Preparation of statistical data for internal and external use, including HEDS, IPEDS, NYSED reports, various enrollment reports and related areas of institutional research; c. Monitoring of student progress toward completion of degree/certificate/academic minor requirements/clearance for graduation/certificate completion (undergraduate and graduate students; certificate students); d. Design and maintenance of the Registrar's web page, including transfer equivalency database and the inventory of articulation agreements; e. Design and maintenance of online degree audits; f. Evaluation of course work from other institutions as potential transfer credit for incoming students (in cooperation with Department Chairs and in compliance with institutional transfer evaluation guidelines); g. Processing of verification completion of professional certifications; h. Manage graduation process including the call for applicants for graduation; preparation, maintenance, and electronic distribution of listings of prospective graduates; i. Order and distribution of diplomas (including Commencement Honors and Honors degrees) and certificates; j. Departmental budget: creation; monitoring k. Provide in-service training to new incoming faculty as part of the New Faculty Orientation program; l. Preparation of Dean's List; m. Processing of cross-registrations for Daemen and non-Daemen students.
- Coordinate and participate in system implementation projects and continuous process improvement that are directly in support of the office or University priorities.
- Academic calendar: preparation of proposals for consideration and selection of the Cabinet; assign and publish dates pertinent to traditional terms (Fall; Inter-semester; Spring; Summer), as well as calendars for off site and non-traditional course offerings; completion of the annual College Data Survey for HESC.
- Publication (including the electronic University catalog) and implementation of academic policies as authorized by the Chief Academic Officer
- Creation and completion of all start-up procedures relative to the implementation of new academic programs, minors, certificate programs.
- Publication and implementation of curricular requirements for the core curriculum, as well as all degree, certificate and academic minors.
- Review of proposals to the Educational Policy Committee, serving in an advisory capacity to the EPC Subcommittees on Curriculum.
- Communication as needed with the NYS State Education Department, including notifications of any substantive changes in approved programs (other than those leading to teacher or nursing certification).
- Grading: establish and implement schedule of opening and closing of grading windows.
- Design and maintenance of core course inventory; academic program inventory.
- Enforces University policy on the interpretation of the Family Educational Rights and Privacy Act of 1974 (FERPA).
- Appointment, supervision, and evaluation of Registrar's/Registration personnel.
- Service on the Commencement Committee, Date and Information Committee, Emergency Response Team Committee and other Committees/focus groups as requested.
- Completion of other appropriate duties as assigned by the Executive Vice President for Academic Affairs and Provost
Required Qualifications
- Master's degree in a related field
- Significant experience in higher education records and registration
