Summary:
As an Administrative Assistant, you will play a pivotal role in ensuring the smooth functioning of the office by providing essential support in various administrative tasks for the HR and Administrative Manager. Your excellent organizational skills, communication abilities, and attention to detail will contribute to maintaining an efficient and productive workplace. You will handle phone communications, run errands, schedule meetings, and keep the office organized.
Responsibilities:
1. Communication Support:
- Handle incoming phone calls, emails, and correspondence; prioritize and route communications accordingly.
- Take accurate messages and convey information to team members as needed.
- Maintain effective communication with colleagues, clients, and vendors.
- Handle incoming and outgoing mail and email correspondence, responding to inquiries in a timely manner.
2. Errand and Courier Duties:
- Carry out necessary errands such as purchasing office supplies, picking up mail, or delivering documents and packages.
- Help with office-related tasks outside of the premises in an efficient manner.
3. Scheduling and Meeting Coordination:
- Schedule appointments, meetings, and conferences, ensuring availability of participants and necessary resources.
- Send out meeting invitations, confirmations, and reminders.
- Reserve meeting rooms and arrange necessary equipment for meetings.
- Prepare meeting agendas, take minutes, and distribute relevant materials.
4. Office Organization:
- Maintain a clean, organized, and welcoming office environment.
- Ensure common areas, meeting rooms, and workspaces are neat and functional.
- Keep track of office supplies inventory and re-order as necessary.
5. Administrative Support:
- Assist with Certificate of Insurance and Business License requests and renewals.
- Assist with document preparation, including formatting, editing, and proofreading.
6. Filing and Document Management:
- Organize electronic and physical files for easy retrieval and reference.
- Ensure proper labeling and secure storage of sensitive documents.
7. Vehicle Records:
- Maintain drivers list.
- Ensure all vehicle maintenance is accurately tracked.
- Assist with vehicle registrations and coordinate smog checks, as needed.
- Assist with registering and decommissioning trucks in and out of fleet.
- Pull reports and help maintain Azuga account, as needed.
8. Miscellaneous Tasks:
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent; additional education a plus.
- Proven experience as an administrative assistant, receptionist, or similar role.
- Proficiency in using Microsoft Office Suite.
- Strong verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Ability to work independently and as part of a team to meet deadlines.
- Strong problem-solving abilities and proactive attitude.
- Self-Starter.
- Familiarity with basic office equipment and technology.
- Reliable and adaptable, with the ability to work independently and as part of a team.
