The Marketing, Operations & Administrative Coordinator plays a central role in supporting all day-to-day functions of our commercial real estate brokerage. This position manages full-cycle listing management, marketing production, financial administration (Accounts Payable & Receivable in QuickBooks software) across multiple entities, and internal operational support.
The ideal candidate is detail-oriented, organized, strong in communication and able to manage multiple recurring tasks, deadlines, and workflows. This role directly supports the broker team and contributes to the productivity and professionalism of the firm.
Key Responsibilities
Property Listing & CRM Management
Manage all property listings across real-estate platforms, ensure accuracy of data, organize materials, and maintain consistent updates for the brokerage team.
Marketing Material Development
Create and refine brochures, flyers, presentations, and property descriptions while maintaining brand consistency across all marketing content.
Email & SMS Campaign Management
Draft, schedule, and distribute email and SMS campaigns for new listings, updates, and announcements; monitor performance metrics.
Sales & Prospecting Support
Assist agents with marketing language, outreach messaging, prospecting content, and general communication support for property promotions.
Financial & Monthly Operational Responsibilities
Support monthly financial tasks including transaction reviews, recurring payments, QuickBooks updates, and bi-weekly payroll coordination.
Internal Operations & Administrative Support
Maintain organized digital and physical filing systems, manage internal processes, oversee general office upkeep, and route incoming calls.
Systems, Processes & Workflow Optimization (Bonus Work)
Identify opportunities to improve efficiency, recommend new tools, and help enhance automation within the brokerage.
Qualifications
- QuickBooks or general bookkeeping experience is required
- Strong written and verbal communication skills
- Excellent organization and multitasking abilities
- Experience with marketing tools (Canva, PowerPoint, Buildout a plus)
- Experience with CRM/real estate platforms (Crexi, LoopNet) preferred
- Professional, dependable, and detail-oriented
- Comfortable learning new systems and supporting a dynamic team
