For more than 130 years, J.C. Newman Cigar Co. has been crafting some of the world's most respected cigars. Located in the heart of historic Ybor City, our restored historic building features a three-level cigar museum, interactive theater, hand-rolling room, factory store, and private event space. Guests from around the world visit us to experience Tampa's cigar heritage, much like they would a winery, brewery, or distillery.
We are looking for an Event Coordinator who understands that hospitality is about storytelling, attention to detail, and creating memorable guest experiences. Every interaction, every display, and every tour is an opportunity to bring our heritage to life.
What You Will Do
As the Event Coordinator, you will support the Event Sales Manager by taking contracted events from booking through execution. You are the operational lead who ensures every detail is planned, communicated, and delivered to J.C. Newman's service standards. You will be the primary point of contact for the client's post-contract and the on-site leader who makes sure events run smoothly from load-in to breakdown.
You will be:
- Assisting with the execution of private and internal events from planning through completion
- Serving as the operational contact for clients once events are contracted
- Reviewing event details to understand scope, inclusions, and expectations
- Preparing detailed timelines, floor plans, and event logistics documents
- Coordinating with vendors, rental companies, and internal departments
- Collecting and verifying required documentation, such as certificates of insurance and permits
- Communicating venue policies and procedures to clients and vendors
- Supporting on-site event setup, execution, and breakdown
- Addressing issues in real time in collaboration with leadership
- Maintaining accurate event files, calendars, and planning documents
- Assisting with internal events, community engagements, and special initiatives as needed
- Representing the J.C. Newman brand and contributing to a polished guest experience

You balance hospitality with structure and understand that flawless execution builds trust with clients and sales partners.
You likely bring:
- A strong sense of accountability and follow-through
- 2 to 3 years of experience in event coordination, hospitality, or venue operations
- Excellent organizational and time management skills
- Clear and professional communication skills with clients, vendors, and team members
- The ability to multitask and adapt quickly when plans change
- A collaborative, solutions-focused mindset
- Flexibility to work evenings, weekends, and holidays as events require
- Bachelor's degree preferred
Physical Requirements & Work Environment
- Stand and walk for extended periods of time during events
- Lift and carry up to 30 pounds, including décor, event materials, and supplies
- Assist with setup and breakdown of tables, chairs, signage, and light event equipment
- Bend, stoop, kneel, and reach as needed during event preparation
- Work in both indoor and outdoor environments, which may include varying temperatures and weather conditions
