Job Responsibilities In this role, you will:
• Manage the CEO’s calendar for internal and external meetings and appointments, including Board meetings, public relations and executive team meetings. • The incumbent is responsible for setting a welcoming tone for the Executive Office through their collaboration and interactions with all stakeholders, including members of executive leadership, Board of Directors, staff, program participants, and community leaders. • Help prepare and ensure that necessary background materials are available to the CEO in advance of meetings. • Review and proofread all necessary proposals, minutes, emails, correspondence and other documents prepared for the CEO’s sign-off and/or signature. • Schedule meetings with internal and external stakeholders and act as the point person for collection and distribution of materials, attendance tracking, and follow-up. • Manage the Board and Board committee meeting process, including advance planning to have all materials available. • Prepare, edit, and organize all materials necessary for meetings (i.e., minutes, reports, presentations, Board Book, etc.) and ensure the CEO and other meeting participants have materials in a timely manner. • Partner with other members of the team • Handle travel arrangements, including booking flights, accommodation, and itineraries, when necessary. • Support special projects, other administrative processes and strategic initiatives as needed.
