JOB PURPOSE / SUMMARY

The Receptionist in the administrative department of the car dealership serves as the first point of contact for customers, visitors, and callers, providing exceptional customer service and administrative support to ensure a positive experience for all dealership stakeholders.


DUTIES AND RESPONSIBILITIES

  • Greet customers and visitors in a friendly and professional manner, directing them to the appropriate department or individual.
  • Answer incoming phone calls promptly and courteously, providing information, transferring calls, or taking messages as needed.
  • Assist with administrative tasks, such as data entry, filing, scanning, photocopying, and document preparation, to support office operations.
  • Ensuring mailman picks up outgoing mail, ensure mail is received properly and securely.
  • Maintain cleanliness and organization of the reception area, including the lobby, waiting area, and front desk, to create a welcoming environment for customers and visitors.
  • Monitor inventory and order supplies including snacks, coffee, water other materials, to ensure availability and upkeep for the customer lounge area.
  • Pick up supplies from Sam’s Club when necessary.
  • Provide administrative support to the Office Manager and administrative staff, including assisting with special projects and events as needed.
  • Process all keys for sales department and program fobs as well as deleting sold units from the system.
  • Coordinate with the sales managers to ensure the proper distribution of incoming calls.

Requirements:

QUALIFICATIONS

  • High school diploma or equivalent; additional education or training in administrative or customer service fields is preferred.
  • Previous experience in receptionist, administrative assistant, or customer service roles is beneficial.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively.
  • Proficiency in MS Office applications and basic computer skills.
  • Ability to work efficiently in a fast-paced environment and remain calm under pressure.
  • Commitment to professionalism, confidentiality, and customer service.
  • Valid driver's license and clean driving record.


GOALS AND EXPECTATIONS

  • Keep the customer waiting lounge clean and stocked.
  • Daily scanning of car deals, repair orders, and parts invoices in compliance with Federal Trade Commission Regulations.
  • Knows when to direct any situation to management for involvement.
  • Must express needs and concerns to manager regarding any foreseen issues with customers or coworkers.
  • Specific metrics and results may vary as determined by management and are subject to change.
  • Ensure compliance with dealership standards and performance metrics, adapting strategies as needed to meet fluctuating monthly targets for dealership, region, and national metric benchmarks.
