The Administrative Assistant/Front Office Receptionist plays a crucial role in ensuring smooth front office operations and providing excellent customer service in a dynamic, large team environment. This position reports directly to the Department Head and involves managing reception duties, scheduling appointments, and handling communications efficiently. Proficiency in various scheduling software and strong organizational skills are essential to support day-to-day office functions without travel requirements.

Responsibilities

  • Manage reception area and greet visitors professionally
  • Schedule and coordinate appointments using Microsoft Outlook, Google Calendar, and other software
  • Handle phone calls, taking messages and directing inquiries appropriately
  • Coordinate visitor access and maintain visitor logs
  • Manage incoming and outgoing mail and packages
  • Maintain office supplies inventory and place orders as needed
  • Perform data entry and maintain accurate records
  • Provide general customer service and correspondence support
  • Assist with basic bookkeeping tasks

Preferred Qualifications

  • 1+ years of experience in administrative support
  • High School Diploma or equivalent
  • Proficient in Microsoft Office Suite
  • Experience with calendar management and scheduling tools
  • Strong data entry and customer service skills
  • Excellent telephone etiquette and communication abilities
  • Strong organizational and multitasking skills
