The Customer Service Manager will oversee the day-to-day operations of our customer service department, ensuring every interaction reflects Valvetronic Designs’ commitment to excellence. This leader will manage processes, mentor and train the customer service team, and continuously improve systems that strengthen efficiency, professionalism, and customer satisfaction.

This role is critical in protecting and growing our brand reputation as we expand into new markets and scale operations.

Key Responsibilities

Team Leadership

  • Manage, mentor, and motivate the customer service team.

  • Provide regular coaching, training, and development to build a high-performing, customer-first culture.

Process Management

  • Build, document, and refine workflows to ensure consistency, efficiency, and service quality.

  • Translate business needs into scalable service processes.

Customer Experience

  • Handle escalated interactions with professionalism and empathy.

  • Implement strategies to transform challenging customer experiences into positive outcomes.

Technology & Tools

  • Oversee the use of Richpanel and other service platforms.

  • Drive automation and AI enhancements to streamline support operations.

Quality Control

  • Track and monitor KPIs (response time, resolution time, CSAT, review ratings).

  • Identify trends and implement strategies for continuous improvement.

Knowledge Management

  • Capture institutional knowledge and convert it into SOPs, training modules, and playbooks.

  • Ensure long-term team success through structured learning materials.

Cross-Department Collaboration

  • Partner with operations, marketing, and engineering to align customer feedback with product and process improvements.

Brand Stewardship

  • Act as a guardian of the Valvetronic reputation.

  • Ensure customer service remains a competitive advantage and a core reason customers choose our brand.

Qualifications

  • Experience: 5+ years in customer service, including 2+ years in a supervisory or management role.

  • Conflict Resolution: Proven ability to de-escalate and resolve challenging situations.

  • Communication: Strong written and verbal skills, with the ability to coach others in best practices.

  • Technology: Familiarity with service platforms (Richpanel, Zendesk, Gorgias, etc.); AI/automation experience is a plus.

  • Learning & Training: Fast learner with the ability to quickly absorb technical/institutional knowledge and teach it effectively.

  • Industry Knowledge: Automotive background is helpful but not required; genuine enthusiasm for the industry is essential.

  • Organizational Skills: Highly organized, process-driven, and motivated to design systems that scale.
