Overview:

The Purchasing & Logistics Coordinator manages shop inventory, manages the shipping logistics for our heavy machinery projects, and oversees procurement processes to ensure the timely availability of parts and materials. This role involves creating and managing purchase and sales orders, scheduling and managing shipments per our delivery timelines, and working with shop managers to identify potential delays caused by material shortages. The coordinator will work closely with shop managers and the accounting team to ensure project delivery, as well as enabling accurate and timely billing through documentation of procurement activities.

Duties and Responsibilities:
• Create and manage purchase orders and sales orders using Sage Accounting software.
• Collaborate with shop managers to monitor inventory levels and ensure necessary machinery components and materials are available for project timelines.
• Order parts, materials, and shop supplies in alignment with project timelines.
• Maintain notes for each project when creating purchase orders, including 3rd party services used, parts fabricated, or other special instructions to ensure accurate and timely billing.
• Track and manage the procurement process to ensure all orders are fulfilled within the required timeframes.
• Track inbound shipments, working closely with vendors to resolve any discrepancies or delays.
• Oversee shipping and receiving activities, ensuring proper documentation (e.g., CI, BOL) and timely delivery.
• Maintain an organized and efficient parts room.

Requirements:
• Strong clerical skills, including accurate recordkeeping, documentation of project details, and effective cross-team communication.
• 2+ years of experience in purchasing, logistics, or a related clerical/administrative role.
• Proficiency with inventory management software and Sage Accounting or similar tools is preferred but not required.
• Ability to monitor inventory levels and proactively manage replenishment processes.
• Excellent attention to detail and problem-solving skills.
• Must demonstrate the ability to work independently and maintain accurate records of procurement and inventory activities.

Education and Experience:
• High school diploma or equivalent is required; further education in supply chain management, business administration, or a related field is preferred.
• Proficiency with inventory management software and Sage Accounting (or similar ERP tools) is preferred.
• Demonstrated ability to work independently and maintain accurate records of procurement and inventory records.
