Job Title: Executive Assistant (C-Level Support)

Location: New York, NY

Pay Range: $30–45/hour

Contract: 6–12 months


Position Overview

We are seeking a highly professional, proactive, and detail-oriented Executive Assistant to provide direct support to senior leadership within a fast-paced financial services environment. This role requires a polished communicator with exceptional organizational skills, sound judgment, and the ability to operate with discretion and confidentiality at all times.

The ideal candidate has experience supporting C-level executives, managing complex calendars, and serving as a strategic partner who anticipates needs and ensures seamless day-to-day operations.


Key Responsibilities

  • Provide high-level administrative support to C-suite executives, including complex calendar management, meeting coordination, and international/domestic travel arrangements.
  • Act as a gatekeeper and liaison between executives and internal/external stakeholders.
  • Prepare, edit, and format presentations, board materials, reports, and correspondence with a high level of accuracy and professionalism.
  • Manage confidential information with discretion and integrity.
  • Coordinate executive meetings, including logistics, agendas, materials preparation, and follow-ups.
  • Track expenses, process reimbursements, and support budget oversight.
  • Support special projects, strategic initiatives, and cross-functional coordination as needed.
  • Anticipate executive needs, proactively problem-solve scheduling conflicts, and ensure priorities are managed effectively.
  • Maintain a professional presence when interacting with clients, board members, and senior stakeholders.


Qualifications

  • Bachelor’s degree preferred.
  • 3+ years of experience supporting senior leadership, ideally within financial services, banking, or corporate environments.
  • Proven experience supporting C-level executives is strongly preferred.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Strong business acumen and understanding of executive-level operations.
  • Exceptional organizational skills with the ability to manage multiple priorities in a high-pressure environment.
  • Excellent written and verbal communication skills.
  • High level of discretion, professionalism, and emotional intelligence.
  • Self-starter with strong attention to detail and a proactive mindset.
