Position Overview
We are seeking a highly professional, proactive, and detail-oriented Executive Assistant to provide direct support to senior leadership within a fast-paced financial services environment. This role requires a polished communicator with exceptional organizational skills, sound judgment, and the ability to operate with discretion and confidentiality at all times.
The ideal candidate has experience supporting C-level executives, managing complex calendars, and serving as a strategic partner who anticipates needs and ensures seamless day-to-day operations.
Key Responsibilities
- Provide high-level administrative support to C-suite executives, including complex calendar management, meeting coordination, and international/domestic travel arrangements.
- Act as a gatekeeper and liaison between executives and internal/external stakeholders.
- Prepare, edit, and format presentations, board materials, reports, and correspondence with a high level of accuracy and professionalism.
- Manage confidential information with discretion and integrity.
- Coordinate executive meetings, including logistics, agendas, materials preparation, and follow-ups.
- Track expenses, process reimbursements, and support budget oversight.
- Support special projects, strategic initiatives, and cross-functional coordination as needed.
- Anticipate executive needs, proactively problem-solve scheduling conflicts, and ensure priorities are managed effectively.
- Maintain a professional presence when interacting with clients, board members, and senior stakeholders.
Qualifications
- Bachelor’s degree preferred.
- 3+ years of experience supporting senior leadership, ideally within financial services, banking, or corporate environments.
- Proven experience supporting C-level executives is strongly preferred.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
- Strong business acumen and understanding of executive-level operations.
- Exceptional organizational skills with the ability to manage multiple priorities in a high-pressure environment.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and emotional intelligence.
- Self-starter with strong attention to detail and a proactive mindset.
