We are seeking a dedicated and professional Receptionist/Administrative Support to join our team. The receptionist will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will have experience with Adobe, Microsoft, and basic computer proficiency.

You will be working closely with two lawyers and their paralegals/legal assistants, supporting their daily operations and ensuring smooth communication and workflow within the office.

  • Greet and welcome visitors in a friendly and professional manner.

  • Manage incoming calls and direct them to the appropriate personnel.

  • Perform data entry tasks accurately and efficiently.

  • Assist with office management duties, ensuring the front desk area is organized and presentable.

  • Maintain confidentiality of sensitive information in compliance with company policies.

  • Handle filing duties, ensuring documents are properly organized and easily accessible.

  • Order office supplies as needed.

  • Receive, sort, and distribute incoming mail and faxes.

  • Scan documents, send faxes, and make copies as needed.
  • Prepare Certified Mail and Return Receipts as needed.

  • Manage paper calendar for conference room scheduling.

  • Drop off outgoing mail to the mail room.

  • Restock supplies in the kitchen such as coffee, water, utensils, etc.

  • Restock supplies such as paper, pens, folders, etc., in the “Copy Room.”
