Job DescriptionThe Town of Butner is hiring a Festival Planner to oversee the full lifecycle of a one-day annual festival on the first Saturday in June. This role is responsible for developing, managing, and evaluating all aspects of the event. The planner will coordinate event logistics, engage vendors, volunteers, and internal and external stakeholders to ensure seamless operations. Under the direction of the town’s Event Coordinator/PIO, the planner will implement the festival's goals. Key responsibilities include budget management, sponsorship development, forecasting, and vendor relations. The position also involves recruiting and scheduling volunteers, obtaining necessary permits, resolving event-related challenges, and producing post-event evaluations. A strong emphasis is placed on strengthening community relationships with local businesses and organizations to enhance community engagement and support for the festival.

The Hiring Rate is $28.00 an hour. This is a part-time position and is not eligible for benefits. The hours are variable, increasing as the festival date nears. This position does not contribute to the Local Government Employees Retirement System and cannot work more than 1000 hours in a year.

Minimum Education and Experience Requirements:
Four years of experience in event planning.

Required Qualifications, Competencies, and Experience:

  • Direct experience planning and managing large-scale festivals or events.
  • Proven track record in developing and managing detailed project timelines, budgets, and schedules, ensuring all milestones are met within deadlines and financial constraints.
  • Ability to lead and coordinate cross-functional teams, including volunteers, staff, and vendors, to ensure smooth event operations.
  • Excellent verbal and written communication skills, with experience managing relationships and negotiating with vendors, artists, volunteers, and community partners.
  • Strong analytical and problem-solving skills; ability to adapt quickly to changing circumstances and find effective solutions.


Preferred Qualifications, Competencies, and Experience:

  • Experience building and maintaining partnerships with local businesses, service providers, and community organizations to enhance event experiences.
  • Knowledge of event planning software, ticketing platforms, and on-site technologies (e.g., audio/visual, staging, etc.).
  • Experience partnering with local governments.


Special Physical/Mental Requirements:

  • Extended periods of walking and standing during the 1-day festival and planning phases.
  • The ability to move materials or equipment (e.g., signage, event kits, supplies) weighing as much as 25-30 pounds.
  • The ability to work in all weather conditions (heat, cold, rain) during the festival, especially when managing outdoor events or setting up and taking down materials
  • Ability to work long hours, including evenings, early mornings, and weekends, particularly during the festival and peak planning periods.
