Commercial Development Assistant & Lease Administration

Position Summary

The Commercial Development Assistant & Lease Administration professional supports the full lifecycle of commercial real estate projects from opportunity identification and underwriting through lease execution, administration, and ongoing compliance. This hybrid role works closely with Development, Acquisitions, Leasing, Legal, Property Management, and Finance to ensure projects are investment-ready, leases are accurately documented and billed, and key obligations and dates are proactively managed. The position combines analytical deal support with high-precision lease and portfolio administration to protect value before and after transactions close.

Key Responsibilities

Development / Deal Support

  • Assist in maintaining the development and acquisitions pipeline, including lead tracking, deal status updates, and broker communications.
  • Prepare initial deal screening materials: site overviews, market snapshots, and high-level feasibility notes.
  • Coordinate tours, NDAs, data requests, and early diligence activities with internal teams and third parties.
  • Support market and site research including rent/expense comps, vacancy, absorption trends, and competitive supply analysis.
  • Research zoning, entitlements, municipal requirements, and incentive opportunities; summarize constraints and timelines.
  • Build, update, and manage project proformas and underwriting models; run sensitivity analyses on rent, cost, timing, and exit assumptions.
  • Assist with Investment Committee and stakeholder presentations, including narrative development and slide preparation.
  • Support due diligence coordination by collecting third-party reports (Phase I/II, survey, geotech, appraisal, etc.), tracking deliverables, and summarizing risks.
  • Help manage closing checklists and coordinate with legal on LOIs, PSAs, exhibits, and post-closing requirements.

Lease Administration / Portfolio Support

  • Abstract and interpret lease documents (new leases, renewals, and amendments) to capture key economic and operational terms.
  • Enter, audit, and maintain lease data in lease administration and/or accounting systems (e.g., Yardi, MRI, or similar).
  • Set up and QA billing schedules for base rent, escalations, percentage rent (if applicable), and recoveries per lease terms.
  • Track critical lease dates including expirations, renewal/termination options, notice windows, rent step-ups, CPI/market adjustments, and compliance deliverables.
  • Support CAM/OPEX and real estate tax reconciliations by reviewing estimates, year-end true-ups, caps, exclusions, and gross-ups; prepare variance analyses.
  • Maintain organized digital lease files and ensure version control across amendments, exhibits, and correspondence.
  • Produce rent rolls, option/expiration schedules, and portfolio dashboards for Development, Leasing, Finance, and Asset Management teams.
