Job Summary:

The contract technical writer will be responsible for the following:

Training Requirements: Complete training on familiarization guide, referred to as the Job Familiarization Guide (JFG), Undergo training on the procedure change process, including using associated job aids.

Procedure Writing and Revisions - Manage and type procedure change requests using Microsoft Word, Identify required reviews and approvals for documents being revised, make document changes based on feedback, resolve comments, and incorporate additional revisions.

Document Finalization - Prepare finalized documents by converting them to PDF, Ensure proper posting and accessibility for reviewers and approvers.

Tools Utilized - SAP, SharePoint, Adobe, and Microsoft Word will be the primary tools used for document management and revisions.

Working with 3 other Technical Writers in addition to a procedure writer.

Would also work with the document control team to request copies of documents in addition to internal nuclear stakeholders.

Log in remotely and check email or SAP for new Procedure Change Requests (PCRs) assigned.
-
Review updates on ongoing projects, including comments or approvals from reviewers.
-
Prioritize tasks for the day based on due dates and procedural timelines.

Initiating a New PCR - Open the assigned PCR in the Management of Change (MOC) system and review the request details provided by the initiator.

Examine the major change request and associated markup documentation. If not yet qualified to type, create an activity in the system for the document control team to provide the editable Word document from the work-in-progress folder.

Document Editing and Typing: For qualified writers: Retrieve the Word document, make necessary edits based on the markup and comments, and save the updated file in the work-in-progress folder.

Collaborate with the typing team if additional support is needed for document revisions.

Draft Creation - Ensure all changes have been incorporated into the document.

Save the updated file in draft form and convert it into a PDF.

Upload the PDF draft into the designated SAP review folder.

Review Process Initiation - Use the procedural tools (e.g., forms and procedural guides) to identify required reviews for the revised document.

Assign reviews to appropriate individuals in departments such as operations, maintenance, or engineering. Include clear instructions and a 10-business-day due date for the review.

Managing Reviews and Approvals - Monitor the progress of reviews in SAP and respond to inquiries from reviewers.

Begin resolving comments as they are submitted by reviewers. This may involve reaching out to reviewers for clarification or discussing with subject matter experts.

Document all activities, including changes in reviewers, comments, and approvals, ensuring a complete record in MOC.

Learning and Collaboration - If new to the role, collaborate with the operations writer or other experienced team members to identify the correct reviewers for specific functional area documents.

Gradually build familiarity with key contacts in various departments.

Wrap-Up and Planning - Review the status of all ongoing PCRs, ensuring deadlines and procedural steps are on track.

Document the day's completed activities in the MOC system for record-keeping.

Prepare a plan for the next day, including pending comments, review assignments, or new PCRs to address.
Qualifications

3-5 years of experience

Procedure writer background.
-
Utility experience would be helpful.
-
No required certifications, however, a professional procedure writer certification called Procedure Professionals Association (PPA) Technical Writer Certification would be nice to have to illustrate proficiency.

Precision in reviewing, editing, and finalizing documents to ensure accuracy, compliance, and adherence to established procedures.

Advanced skills in Microsoft Word, including editing, formatting, and document organization, are essential for creating and revising procedural documents.

Experience in Document Review and Control

Prior experience managing documents through their lifecycle, including drafting, reviewing, revising, and finalizing, is crucial.

Familiarity with document management processes and tools (e.g., SAP and SharePoint) is highly beneficial.

Strong Communication Skills - clearly and effectively communicate procedural changes and requirements to stakeholders across various departments. This includes resolving reviewer comments and facilitating approvals.

Technical Writing Expertise particularly in creating and managing detailed and regulated documentation.
-
Knowledge of industry best practices and procedural standards is important for success in this role.

Nuclear experience would be helpful for this role so that they have an understanding of document content and what its purpose is.

Familiarity with Adobe for creating and editing PDFs, and the ability to follow structured processes make candidates well-suited for this position.

Only one Certification Bonus per calendar year may be awarded per employee. Only current, active employees will be eligible to receive this bonus. It will be awarded 90 days after the Synectics office has received documentation confirming the successful completion of the certification.
