Position Title: Executive Secretary

Department: Administration

Reports to: Administrative Assistant

FLSA: Non-exempt

We are seeking an experienced and detail-oriented Executive Secretary to provide high-level administrative support to our Administration Department and Board of Directors. This role requires strong independent judgment, discretion, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Support the Board of Directors and CEO with scheduling, correspondence, and meeting coordination
  • Record and transcribe meeting minutes for Board and management team meetings
  • Manage conference room calendars, office supplies, and incoming/outgoing mail
  • Draft emails, memos, and correspondence; maintain administrative files and shared portals
  • Greet visitors, screen calls, and handle patient inquiries and complaints
  • Coordinate staff travel and assist with special projects and data entry

Requirements:

  • High School diploma required; Bachelor's degree in Business Administration preferred
  • 4+ years of secretarial/clerical experience in an office setting
  • Proficiency in Microsoft Office Suite; minimum 50 WPM typing speed
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities and meet deadlines

Working Conditions: Indoor office/clinical environment; occasional lifting up to 25 lbs.
