Office & Patient Care Coordinator
Concierge Medical Practice | Aventura, FL
Position Type: Full-Time (In-Person)
Schedule: Monday to Friday, 8:30 AM to 5:00 PM
Compensation: Starting at $28–30/hour with performance-based growth to $40/hour over
18 months
About the Role
We are a boutique, high-touch concierge medical practice in Miami seeking a bilingual
(English/Spanish), organized, and proactive Office & Patient Care Coordinator. This
position is ideal for someone who thrives in a fast-paced, service-focused environment
and wants to be a central figure in helping our patients receive seamless care.
You don’t need prior concierge medicine experience—but you do need to be dependable,
detail-oriented, and someone who takes initiative. You will work closely with the physician-
owner and his wife, who co-manage the practice.
Key Responsibilities
Office Oversight & Coordination
• Supervise front desk staff and ensure daily tasks are completed
• Manage incoming mail and sort for physician attention
• Maintain spreadsheets to track referrals, payments, and enrolled patients in
programs (e.g., weight loss, aesthetics)
• Monitor office inventory and supplies
• Ensure functionality of medical and office equipment
• Maintain updated vendor and service provider contacts
Billing & Payments
• Use office software to accept and process patient payments
• Keep accurate internal records of transactions
• Review diagnostic and lab billing for discrepancies
Patient Coordination
• Act on clinical directives from physician (e.g., referrals, diagnostic scheduling)
• Follow through with external providers and patients to ensure appointments are
kept
• Schedule follow-up appointments with the physician
• Delegate routine follow-ups to front desk when appropriate
Sales & Program Management
• Confidently explain and pitch membership and cash-based services
• Follow structured scripts with balance of professionalism and flexibility
• Keep program-specific logs to track patient progress and needs
Administrative & Communication Tasks
• Draft and respond to emails for patients and vendors
• Upload and manage documentation in EHR
• Support social media and marketing efforts as needed
Candidate Requirements
• 3–5 years experience in a medical office (concierge experience a plus)
• Highly organized and detail-driven
• Strong computer skills (EHR systems, spreadsheets, email platforms)
• Fluent in Spanish and English
• Trustworthy with sensitive financial and clinical information
• Comfortable working in a small team, answering to both physician and practice
manager
• Self-starter with strong time management and follow-through
Compensation & Growth
Starting Pay: $28–30/hour depending on experience
Growth Path:
• Month 3: Increase to $32/hour upon meeting coordination & billing goals
• Month 6: Increase to $34/hour with proven patient follow-up & clinical coordination
• Month 9–12: Increase to $36/hour with demonstrated independence and team
delegation
• Month 15–18: Eligible for up to $40/hour based on full task ownership
Optional Sales Bonus: After 6-month performance review, incentive bonuses may be
offered for successful sales of memberships or services.
