Dr. Lori is looking for a medical receptionist to help our practice run smoothly. You greet patients, manage the schedule and patient communication. This part-time position is half days, Monday through Thursday.


Part-time: 4.5 hours/day, four days a week

Role: As the first point of contact and primary guide for our patients, you are key to creating a seamless "front-to-back" experience by managing communications, optimizing the provider’s schedule and ensuring 100% accuracy in data and insurance. As a key link in the revenue cycle, you accept payments in person, by phone and by mail — all while maintaining a welcoming, HIPAA-compliant environment.

Core Responsibilities:


Patient Experience & Reception

  • First Point of Contact: Welcome patients upon arrival in the office and manage all phone inquiries with professional courtesy.
  • Registration Management: Distribute, collect, and process necessary intake paperwork.
  • Payment Collection: Collect patient co-pays and outstanding balances at the time of service.
  • Data Integrity: Verify and update patient demographics, including addresses, phone numbers, email, and insurance details. Run real-time insurance eligibility checks when patients check in.
  • Telehealth Coordination: Contact patients prior to scheduled telehealth "visits" to provide an estimated call time, ensure technical readiness for Dr. Davidson’s telehealth call, and collect any account balances.
  • Office Environment: Keep the front desk and reception areas clean, organized, and welcoming.
  • Patient Payments: Get the mail daily, distribute as needed. Process payments received via mail or phone. Contact patients about unpaid balances, collect payment or establish a payment plan.


Scheduling & Clinical Support

  • Schedule Management: Oversee the provider’s appointment schedule, including confirmation calls, as needed and waitlist management via spreadsheet.
  • Appointment Confirmation: Send confirmation text messages 24 to 48 hours in advance to patients who have not confirmed their appointment via the automated system. If they don’t confirm by the day before the appointment, call them to confirm.
  • Communication Liaison: Monitor patient text messages, answer patient calls, return phone calls promptly and triage calls or messages to medical staff as appropriate.
  • Supplies & Logistics: Manage office mail, email and the inventory of clinical forms and office supplies.


Compliance & Operations

  • Privacy & Legal Standards: Adhere strictly to PHI and HIPAA standards when handling medical records.
  • Regulatory Adherence: Conduct all activities in compliance with healthcare laws, practice policies, and blood/body substance precautions.


Supervision

  • Day-to-day activities overseen by the Clinical Office Manager
  • Reports to Practice Manager


Qualifications

  • Education: High school diploma or equivalent.
  • Experience: Proven customer service experience within a medical setting.
  • Communication: Ability to convey information in an accurate, concise, and timely manner.
