The Job
The Administrative Specialist provides cross-functional support to People Operations (HR), IT, and Business Operations while serving as a key administrative partner to the Director overseeing these teams. They will oversee daily office operations and administrative functions to ensure efficiency and consistency while providing high-level support to the Director of Business and People Operations.
This position is based in-person in our Downtown Vancouver, WA headquarters.
The hiring range for this position is $55,000 - $68,000
Core Responsibilities
- Provide day-to-day administrative and operational support to People Operations (HR), IT, and Business Operations teams with minimal supervision.
- Act as a strategic administrative partner to the Director by helping track priorities, follow up on action items, and maintain visibility into departmental workflows.
- Anticipate administrative and operational needs and proactively recommend improvements to processes, tools, or workflows.
- Maintain and improve administrative systems, documentation, and internal processes to ensure consistency and scalability.
- Support HR and IT during employee onboarding and offboarding, ensuring a smooth, well-coordinated employee experience.
- Coordinate logistics for internal meetings, trainings, and company-wide initiatives, including preparation of agendas and materials.
- Manage office supply inventory and vendor relationships related to office operations and facilities.
- Coordinate with IT on office equipment, systems access, and administrative technology needs.
- Partner with the Property Manager to coordinate facility repairs, maintenance, and vendor access.
- Support planning and execution of company events and internal initiatives.
- Handle sensitive information with professionalism, discretion, and confidentiality.
- Independently manage competing priorities while meeting deadlines across multiple departments.
- Support special projects and cross-functional initiatives as assigned by the Director.
- Other duties as assigned.
Requirements
Education & Experience
- Strong administrative expertise and operational accumen, with the ability to independently support multiple teams and senior leaders in a fast-moving environment.
- Exceptional organizational and prioritization skills, including the ability to manage competing deadlines, track commitments, and follow through without oversight.
- Experience supporting Human Resources functions and working knowledge of HR principles and best practices.
- Process-oriented mindset with demonstrated ability to improve workflows, documentation, and systems for efficiency, consistency, and scale.
- High level of professionalism and discretion, with proven experience handling sensitive and confidential information.
- Effective cross-functional communication and coordination skills, including working closely with HR, IT, facilities, and external vendors.
- Resourceful problem-solver who anticipates needs, takes initiative, and adapts quickly as priorities shift.
A valid, insurable driver's license is required.
