Position: Office Accountant / Administrative Specialist

Position Summary:
We are seeking a detail-oriented and reliable Office Accountant / Administrative Specialist to manage day-to-day financial operations and provide administrative support. This is a hands-on role, ideal for someone who thrives in a small team environment and can take ownership of diverse responsibilities.
Key Responsibilities:
Accounting & Finance (Core Responsibilities):
- Prepare sales quotations, order confirmations, customer invoices, and follow up on accounts receivable collections
- Review and categorize employee expense reports in Ramp; upload and reconcile data in QuickBooks Online
- Prepare monthly financial reports, including income statements, balance sheets, and sales commission statements
- Manage fixed asset records, compile and audit depreciation schedules
- File annual California fixed asset reports
- Prepare and file sales tax returns for multiple states, including CA, NJ, TX, MI, and others as required
- Coordinate with external CPA firm for year-end tax filings and compliance
HR & Administrative Support (Secondary Responsibilities):
- Administer employee benefits including PTO tracking, 401(k) enrollment, onboarding, and offboarding
- Maintain employee records and assist with travel arrangements and office supply purchasing
- Support management with document organization, reporting, and special projects
Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field
- Minimum 2 years of full-time experience in accounting or finance; experience in a small business or startup environment preferred
- Proficient in QuickBooks Online, Excel, and expense management tools (Ramp or similar)
- Familiarity with multi-state sales tax compliance and fixed asset management preferred
- Strong organizational skills and high attention to detail
- Ability to work independently with minimal supervision
- Excellent written and verbal communication in English
