Position Overview

Approved Fire Protection & Security is seeking a detail oriented Inside Sales & Estimating Specialist to support our Service Division.

This role is responsible for managing existing customer quotes, recurring inspection proposals, deficiency repair estimates, and coordinating project surveys. The primary objective of this position is to support the current customer base and internal operations, allowing outside sales to focus on new business development and growth initiatives.

This is a fast-paced, deadline-driven role that requires strong organizational skills, technical comprehension, and the ability to manage multiple proposals simultaneously.

Requirements:

Required Qualifications

  • Minimum of 2 years of experience in the Fire Protection industry
  • Strong proposal writing and scope development skills
  • Excellent written and verbal communication abilities
  • High attention to detail and strong organizational skills
  • Ability to manage multiple deadlines in a fast-paced environment
  • Proficiency in Microsoft Office Outlook, Word, Excel) and CRM systems
  • Experience in fire protection, construction, mechanical systems, or service-based industries preferred
  • Must pass a background check and pre-employment drug screening
  • Must be able to work Monday through Friday (standard business hours)

Essential Duties and Responsibilities

  • Prepare recurring inspection and service quotes for existing customers
  • Review inspection reports and generate detailed deficiency repair proposals
  • Develop accurate scopes of work and pricing in coordination with field technicians
  • Coordinate and conduct project surveys for service and small project opportunities
  • Track and manage open proposals to ensure timely follow-up and closure
  • Serve as a primary point of contact for customers regarding proposals, revisions, and clarifications
  • Maintain accurate documentation in CRM and internal systems
  • Collaborate with Operations, Project Managers, and Field Teams to ensure seamless transition of approved work
  • Ensure proposals meet company standards, compliance requirements, and margin expectations
  • Maintain professionalism and responsiveness in all customer communications

This position plays a critical role in strengthening our service operations, improving proposal turnaround time, supporting existing customer satisfaction, and contributing to overall company growth.
