Executive Assistant to the President & CEO | Legal & Executive Operations
This is not a traditional Executive Assistant role. This position operates as the central execution hub for the President & CEO—driving alignment, accountability, and follow-through across the organization. The individual in this role serves as a force multiplier: ensuring that priorities move from decision to execution without friction, that communication is precise and controlled, and that no critical initiative stalls due to lack of coordination.
This role requires strong judgment, discretion, and the ability to operate at both strategic and tactical levels simultaneously.
Core Responsibilities:
1. Executive Support & Strategic Gatekeeping:
- Manage and prioritize the President & CEO’s calendar with a focus on strategic time allocation, not just scheduling
- Serve as the primary gatekeeper for internal and external communications
- Monitor, draft, and respond to emails on behalf of the President & CEO with accuracy and appropriate tone
- Prepare briefings, talking points, and summaries in advance of meetings
- Ensure the President & CEO is consistently prepared, informed, and positioned for high-impact engagement
2. Project Management & Organizational Execution:
- Track all key initiatives, assignments, and directives issued by the President & CEO
- Assign tasks to team members and enforce accountability across departments
- Implement structured follow-up systems to ensure deadlines are met and outcomes delivered
- Identify bottlenecks early and escalate risks before they become failures
- Maintain a centralized dashboard of priorities, deadlines, and progress updates
- Drive cross-functional alignment and ensure no initiative is lost in organizational gaps
3. Email & Communication Command Center:
- Actively monitor high-volume email traffic and triage based on urgency and importance
- Draft and send responses on behalf of the President & CEO with clarity, professionalism, and authority
- Ensure timely responses to critical stakeholders, including board members, partners, and external leaders
- Maintain consistency in voice, messaging, and strategic positioning
4. Legal & Governance Support:
- Assist with legal and governance-related documentation, including contracts, correspondence, and policy materials
- Coordinate with internal and external legal counsel as needed
- Maintain confidentiality and ensure proper handling of sensitive and privileged information
- Support compliance with organizational governance processes and documentation standards
5. Operational Coordination & Leadership Support:
- Serve as the connective tissue between the President & CEO and the executive leadership team
- Ensure alignment between leadership priorities and team execution
- Support preparation of board materials, executive reports, and strategic documents
- Drive discipline in internal processes, reporting, and accountability structures

Qualifications:
- Bachelor’s degree required; advanced degree or legal background preferred
- 5+ years supporting senior executives, preferably at the CEO level
- Demonstrated experience in project management and cross-functional coordination
- Strong familiarity with legal documentation and governance processes preferred
- Exceptional written and verbal communication skills
- High proficiency in Microsoft Office, project management tools, and executive communication platforms
- Preference will be given to candidates with prior experience as a paralegal, legal assistant, and/or project manager in high-volume, fast-paced environments requiring rigorous prioritization, precision, and consistent follow-through
