The Role

We are looking for a part-time Office Administrator to work in our Fort Lee, NJ office a minimum of three days per week. This role will provide administrative support to the CEO, as well as ensure that the entire office operates efficiently. The ideal candidate will be detail-oriented, punctual, and able to handle sensitive information in a confidential manner. Adaptability and responsibility will be key to the success of this role.


This is a part-time position with core hours expected Tuesday through Thursday, 9:00 AM – 5:00 PM ET. Occasional support may be needed on Mondays and Fridays, but this will be communicated in advance. The Office Administrator may also provide as-needed support to our New York City office to help ensure smooth operations.

Responsibilities

  • Fort Lee Office Operations

    • Manage and maintain a clean, organized, and smooth-running office environment

    • Take ownership of kitchen & lunch related duties including but not limited to:

      • Ordering daily lunches for the office

      • Managing grocery and snack inventory

      • Restocking kitchen supplies & ensuring the kitchen remains clean

    • Perform general administrative duties and resolve day-to-day office issues

    • Coordinate meetings, appointments, and conference room bookings

    • Schedule and assist clients, office visitors, and out-of-town team members

    • Manage correspondence and calls for yourself and other staff

    • Coordinate maintenance and repair of all office equipment

    • Coordinate service orders with building maintenance department

    • Order and manage office supplies, including gifts for clients and employees as needed

    • Process incoming and outgoing mail

    • Make bank deposits and assist with travel or transportation arrangements as needed

    • Support the planning and coordination of trade shows and company events

    • Submit and reconcile expense reports

    • Handle ad hoc requests

  • New York City Office Support

    • Regularly check in with NYC office attendees to monitor kitchen, office, snack, and drink supply needs

    • Coordinate with vendors for scheduling, inquiries, and invoice processing – including HVAC, cleaning services, and signage

    • Help maintain a clean, organized, and functional office environment

    • Provide basic IT support and/or help escalate issues to CorpIT as needed
