SUMMARY:
The Administrator of Regulatory Affairs is responsible for managing business licensing and regulatory compliance processes across city, county, state, and federal agencies. This role ensures timely and accurate completion of permit and license applications, renewals, and associated payments. They will maintain comprehensive documentation, support internal departments with compliance inquiries, and liaises with regulatory bodies to prevent violations and penalties.
ESSENTIAL JOB FUNCTIONS:
- Complete city, county, state, and federal applications as required concurrent with payment submission in order to obtain a new permit or license.
- Calculate gross receipts for business license renewals.
- Review, code, and process invoice renewals for payment.
- Upon receipt of new or renewal licenses or permits – Scan and file a copy electronically by station into Axxerion.
- Maintain a hard copy in the Regulatory Affairs station file. Distribute originals to appropriate District Manager for delivery and filing at the station’s level.
- Be responsive to all department requests for assistance or information including station inquiries.
- Handle phone inquiries from agency inspectors, as well as company personnel in regard to compliance issues in order to avoid the possibility of receiving financial penalties.
- Maintain the department’s repository for easy accessibility in order to quickly respond to any issues or inquiries.
- Open and review daily department mail and distribute as needed.
- Work in conjunction with Facilities Management Group regarding maintenance issues as indicated on a Notice of Violation or Notice to Comply.
- Update required monthly fuel throughput data for distribution.
- Special project assignments will be as assigned as needed.
JOB QUALIFICATIONS:
The ideal applicant must be a proactive team player, require minimal supervision, have a positive “I Got It!” attitude, and be eager to learn and assimilate new skills to further Company objectives.
- Proficient with MS Windows Programs, particularly advanced Excel experience.
- Self-motivated with the ability to work both independently and as a team player.
- Strong organizational skills and careful attention to detail.
- Demonstrated ability to multi-task in a fast-paced environment.
- High degree of computer literacy in a networked environment.
- Strong critical thinking skills and ability to independently resolve problems.
- Effective communication (written and verbal) and organizational skills.
- Ability to effectively interface with multiple agencies and internal departments.
- Must be able to juggle changing priorities and manage time effectively.
- Able to provide proof of eligibility to work in the U.S. if hired.
