Position: Recruiting Coordinator
Location: Riverside, CA
Department: Human Resources
Reports To: Recruiter
Classification: Non-Exempt (Hourly)
Shift: Monday – Friday, 8:00 AM – 5:00 PM
Compensation: $28.00 – $32.00 per hour (DOE)
1. Job Summary
The Recruiting Coordinator provides essential support to the Human Resources department and plays a key role in the recruiting process, from scheduling interviews to onboarding new hires. This role ensures a positive and professional candidate experience through clear communication and seamless coordination between recruiters, hiring managers, and candidates. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities in a fast-paced, high-volume environment.
This position reports to the Recruiter and works closely with a six-person HR team, including the SVP of HR, HR Generalist, Total Rewards Analyst, Receptionist, Technical Recruiter, and Manufacturing Recruiter.
2. Essential Duties & Responsibilities
Interview Coordination & Logistics:
• Manage all interview scheduling through Paycor ATS and/or Outlook, including virtual (Teams), onsite, and panel interviews.
• Maintain and customize interview templates to include relevant materials such as resumes, assessments, and PPE requirements.
• Coordinate interview logistics—book rooms, send calendar invites, and confirm details with hiring managers and candidates.
• Support out-of-town candidates with travel and accommodation arrangements as needed.
• Greet and host candidates during onsite interviews, ensuring PPE is provided when required.
Recruiting Support & Candidate Management:
• Partner with recruiters to support hiring across production, engineering, and office roles.
• Serve as liaison between candidates and management, ensuring timely and professional communication.
• Manage interview NDA process and maintain accurate documentation.
• Support the offer process, including preparing offer letters and tracking acceptances.
• Facilitate pre-employment screenings, such as background checks and drug testing.
• Assist with new hire orientations and onboarding documentation.
• Identify opportunities to improve scheduling and candidate experience.
Records, Reporting & Compliance:
• Maintain accurate and confidential HR and ATS records.
• Prepare and update recruiting and onboarding reports using Excel.
• Ensure compliance with employment laws, company policies, and data security standards.
Metrics & Standards:
• Meet interview scheduling turnaround goals (e.g., within 24 hours of request).
• Track and report weekly recruiting metrics, including time-to-interview, time-to-offer, and candidate feedback.
Collaboration & Cross-Functional Coordination:
• Work with IT, Facilities, and Payroll to ensure smooth onboarding logistics, including equipment, access, and workspace setup.
Employer Brand & Candidate Experience:
• Represent the company’s culture and values in all candidate interactions.
• Support company participation in recruiting events and career fairs.
Continuous Improvement:
• Proactively identify process gaps and suggest improvements for efficiency and consistency.
• Assist with updating recruiting SOPs, templates, and documentation.
Physical Presence Requirement:
• This is an onsite position based in Riverside, CA; consistent in-office presence is required to support interviews and HR operations.
3. Qualifications
• Bachelor’s degree in Human Resources, Business Administration, or related field preferred (Associate degree with relevant experience accepted).
• Minimum 2 years of administrative, recruiting, or HR coordination experience required.
• Experience in a manufacturing environment a plus.
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Paycor or similar ATS preferred.
• Strong knowledge of HR principles, California labor laws, and compliance requirements.
• Excellent organizational, communication, and time management skills.
• Ability to handle confidential information with discretion and professionalism.
• HR certification (PHR, SHRM-CP, or equivalent) preferred but not required.
• Bilingual in English and Spanish a plus, but not required.
4. Additional Information
