Accounting & Finance Specialist II
Hybrid Remote/In-Person Full-Time Position (40 hours a week) in Castro Valley, CA (Exempt)

Ruby's Place dba Restorative Pathways (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, substance recovery, and wrap-around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. All programs are low barrier.

What qualications are required for this position?
- A Bachelors degree in finance or a similar field. (preferred)
- 2-4 years experience in accounting, reconciliation, or nonprot nance.
- Strong critical thinking and investigative skills.
- Comfort with nancial tools such as QuickBooks and Bill.com.
- A collaborative spirit and commitment to RPs mission and values.
- A willingness to grow and take initiative in a supportive team environment.
- Ability to complete all required background checks including fingerprinting (Live Scan).
What You Will Do
The Accounting & Finance Specialist II plays a vital role in supporting RPs nancial infrastructure and grant management processes. This hybrid position bridges day-to-day nancial operations with grant billing and compliance, ensuring timely, accurate, and transparent nancial practices. Reporting to the Director of Finance, this role supports the organizations growth by maintaining clean books, streamlining systems, and enabling real-time nancial insights.
Responsibilities:
- Complete the monthly accounting duties including reviewing general ledger transactions, allocating programmatic expenses, month-end close, and balance sheet reconciliation.
- Monitor accounts receivable, accounts payable, and purchase order processes, proactively assigning costs to appropriate funders.
- Implement rigorous invoicing protocols for grants, ensuring all fund receipts and disbursements meet federal, state, and local regulatory standards.
- Analyze contracts and service agreements to clarify billing requirements and deliverables, enabling the organization to capture all allowable expenses.
- Develop and maintain comprehensive property management records for fixed assets, supporting transparent reporting and safeguarding organizational resources against loss or misallocation.
- Oversee secure financial document storage systems, enhancing data integrity and supporting audit readiness.
- Champion the development and streamlining of finance processes, introducing automation and standardized workflows.
- Partner with the Director of Finance to deliver actionable financial analyses, precise expense forecasts, and strategic headcount allocations, ensuring timely spenddown of grant funds and avoiding lapses or underspending.
- Support the Finance Director in the timely completion of audits and tax returns.
- Support the Finance Director in the annual organizational budget development process.

Working Conditions
This position is eligible for hybrid in person & remote work. Time spent on-site versus remote working will be discussed and agreed upon with your supervisor. You are expected to be availableon-site as necessary given business needs.You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress.
Local travel in the greater Bay Area may be required.

The pay scale for the Accounting & Finance Specialist II is $80,000-$85,000 per year (exempt). This is a full-time, 40 hours per week, salaried position. This is a hybrid position (ex work), with some days required in oce. Applicants must be located in the greater Bay Area.
