Pay Differentials Offered (must qualify through testing or verification):
- Language Translation - Bi-cultural Spanish: $1.00 per hour
- Bimodal Bilingualism - ASL Sign Language: $1.00 per hour
- Bimodal Multilingualism - ASL Sign Language: $2.00 per hour
Overview:
The Crisis Administrative Specialist supports the daily operations of assigned programs or departments, ensuring the smooth functioning of the office and related administrative tasks. This role requires strong organizational skills, independent problem-solving, and the ability to manage multiple priorities. The Specialist also assists with program components under supervisors direction.
Key Responsibilities
Administrative & Facility Support
- Oversee front office operations and maintain a clean, organized reception area.
- Answer and route phone calls; manage messages and inter-office mail.
- Order and track office, kitchen, and bathroom supplies.
- Coordinate office moves and update staff nameplates.
- Monitor facility maintenance and cleanliness, including kitchen and break areas.
- Greeting and assisting walk-in visitors.
- Distribute mail and packages; notify staff of deliveries.
Client & Program Support
- Provide building tours and orientation for new staff.
- Serve as backup for client transportation if required.
Electronic Health Record (EHR) Management
- Support the maintenance of client charts in our EHR.
- Upload documents, verify eligibility, and ensure record accuracy.
- Track and obtain required signatures (e.g., consent documents).
- Audit charts for completeness and compliance; notify providers of updates.
- Participate in PQI chart audits and implement improvements.
- Managing reports and logs for the program.
- Collaborates with Program Specialists to support compliance-related tasks and ensure program operations meet regulatory and organizational standards.
- Supports agency reporting functions as needed, including ongoing tracking and maintenance of select reports to ensure accuracy and compliance.
Qualifications:
- High school diploma or GED required; 13 years of relevant experience preferred.
- Bilingual preferred but not required.
- Proficient in Microsoft Office, scheduling, and billing software.
Conditions of Employment:
- May work across all agency programs as needed.
- Occasional flexible work schedule required to meet individual client needs.
- Must possess a valid CA Drivers License, current auto insurance, and a clean DMV printout (no more than 3 points).
- Must pass a clear background check with CACI, DOJ & FBI.
- CPR and First Aid Certified.
- TB Exam and Physical at the time of employment.
Driving Requirement:
- Driving is a required function of this position. Employees must use a personal vehicle that meet all agency requirements, including maintaining liability insurance that meets or exceeds state requirements.
- Employees are responsible for ensuring the timely renewal of their vehicle insurance policies and providing updated documentation to the agency to remain in good standing and compliant with position requirements.
Training Provided:
- Comprehensive onboarding including CPR/First Aid, Crisis Communication/Pro-ACT, Trauma-Informed Care, Motivational Interviewing, and Collaborative Problem Solving.
