Vermont Rail System is an affiliation of six shortlines; Vermont Railway (VTR), Green Mountain Railroad (GMRC), Clarendon and Pittsford Railroad (CLP), Washington County Railroad (WACR), New York and Ogdensburg Railway (NYOG), and New England Southern Railroad (NEGS). Individually, each shortline provides personalized, efficient, and reliable rail freight service to a wide variety of on-line customers. Joined in common ownership the railroads form a strategic alliance that allows for better utilization of manpower and equipment, resulting in an increased level of service to customers.
Overview:
We are looking for a highly organized and detail-oriented Payroll and Accounts Payable Specialist to manage bi-weekly payroll processing, employee record maintenance, and timely vendor payments. This role ensures the accuracy of timekeeping, payroll tax compliance, and proper documentation for both payroll and accounts payable functions. The ideal candidate will demonstrate strong communication skills, proficiency in Microsoft Office, and the ability to work independently as well as part of a team. Experience with Sage Peachtree and Sage Abra is a plus. This position also includes general administrative support and requires the ability to manage multiple tasks under deadlines while maintaining confidentiality.
Payroll Responsibilities:
- Process bi-weekly payroll and associated taxes
- Monitor accuracy of time sheets as reported
- Compile and maintain all employee records and data entry of computer records needed for processing bi-weekly payroll including but not limited to pay rate changes, deduction changes, new hires, terminations, direct deposit accounts, W-4, miscellaneous withholdings, etc.
- Carry out the processing of payroll (in-house), organize direct deposit advances for pick-up, distribution, or mailing
- Maintain highly confidential information
Accounts Payable Duties:
- Review all invoices for appropriate documentation and approval prior to payment and for input into system and processing of weekly A/P
- W-9 and 1099 Maintenance
- Respond to all vendor inquiries promptly
- Reconcile vendor statements, research and correct discrepancies
- Maintain files and documentation thoroughly and accurately, in accordance with company policies
Miscellaneous Duties:
- Answer telephones promptly as backup
- Other miscellaneous duties as assigned
Skills, Knowledge and Mental Requirements:
- 5+ years of related experience, accounting background is a plus
- Ability to communicate clearly and effectively verbally and in writing
- Proficiency in Microsoft Outlook, Excel and Word a must
- Sage Peachtree and Sage Abra experience a plus
- Ability to work in a team-oriented, collaborative environment
- Ability to work independently, possess sound, decision-making skills, and multi-task to meet required deadlines
- Detail-oriented, with strong work ethic, professional attitude, reliable
- Strong organizational and time management skills
Physical Requirements:
- Constant (67-100%) talking and hearing either on the telephone or in person
- Frequent (50-100%) viewing a computer and other types of close visual work
- Occasional (10-25%) lifting over head or below waist up to 25 lbs.
