Job Summary: Provides administrative, logistical, and program support to the Cultural Affairs office. Assists with international exchange programs, cultural events, arts initiatives, and public art activities. Focuses on coordination, organization, and execution to support the efficient delivery of cultural programming.
Specific Job Duties and Responsibilities:
- Assist with coordination of incoming and outgoing Sister City delegations.
- Help prepare itineraries, schedules, and delegation materials.
- Support communication with schools, host families, volunteers, and partner organizations.
- Assist with logistics including transportation schedules, activity coordination, and event support.
- Maintain delegation contact lists and digital records.
- Assist with planning and execution of cultural events, including the Arkansas Cherry Blossom Festival, Arts & The Park, The Gala, and related programs.
- Provide on-site event support, including set-up, coordination, and breakdown as needed.
- Assist with coordination related to public art and mural projects, including artist scheduling and communication.
- Support community partnerships connected to arts and cultural programming.
- Perform data entry and maintain organized digital records and databases.
- Assist with calendar management, scheduling, and meeting coordination.
- Prepare correspondence, reports, and program documentation.
- Assist with website updates related to cultural programs and events.
- Support social media posting and scheduling as directed.
- Assist with preparation of newsletters, announcements, and basic written content.
- Attend events, meetings, and delegations when requested.
- Perform duties and functions as assigned by the Cultural Affairs Manager or CEO.
Minimum Experience, Skills or Education Required:
- High school diploma or equivalent.
- Strong organizational and time-management skills.
- Clear written and verbal communication skills.
- Comfort with Microsoft Office, Google Workspace, and basic digital tools.
- Ability to manage multiple tasks and meet deadlines.
- Ability to work well with people from diverse backgrounds.
- Flexibility to work occasional evenings and weekends.
- Reliable transportation and valid Arkansas driver's license.
Working Conditions: Works in a climate-controlled office environment with frequent off-site work during events and delegations. Evening and weekend work required during peak programming periods.
Physical Demands: Occasional lifting up to 20 pounds. Requires standing, walking, talking, and assisting with event materials. Reaching, handling, fingering, seeing, hearing, and speaking required.
