Seeking Dental Office Manager in San Mateo, CA


Sonrisas Dental Health, Inc. (SDH) is a non-profit dental center dedicated to providing access to quality dental care and oral health education to our community. We provide these services with dignity, respect and compassion. SDH improves the health of our community members through culturally sensitive, integrated care, with a focus on disease prevention. SDH is a dental home for our patients, providing preventative dental care, mobile dental, general dentistry, geriatric dentistry, pediatric dentistry, sedation dentistry and accommodations for patients with special needs and disabilities. Seventy percent of SDH’s patients are low-income.


Schedule: Full-time, Monday-Friday 8 AM - 5 PM


Compensation:

The Office Manager willplan and manage dental operations to ensure top-notch patient service. Oversee daily activities, guide staff, and handle front office duties, including patient interactions, billing/insurance questions, and appointment scheduling.


Education/Experience/Licensure:

  • Minimum of 3 years’ experience in a Dental office
  • HS Diploma required or equivalent, Associate degree or higher preferred
  • Familiar with electronic billing, account receivables, and insurance processes and plans
  • Experience in dental administration and direct supervisory responsibilities required
  • Bilingual Spanish Strongly Preferred


Fundamental duties include (but are not limited to):

  • Manage dental business operations and oversee daily office activities - ensuring excellent patient support services.
  • Responsible for front office and financial aspects of practice, assisting patients, scheduling, insurance eligibility and claims, accounts receivable, reports, auditing, and remitting refunds.
  • Maintain patient confidentiality in line with HIPAA.
  • Clearly explain commercial insurance details to patients and dentists.
  • Be the friendly face of Sonrisas’ clinic for patients, helping patients feel comfortable and easing any concerns they may have. Maintain the reputation of the clinic.
  • Ensure patient complaints are responded to and managed by the appropriate staff, and informing Practice Manager and Dental Director immediately as needed.
  • Know staff roles - Cover, support, and coach staff as needed.
  • Oversee supply ordaining, and maintenance of office equipment and facility, facility cleaning contracts, and communicating with property management for building management. Collaborate with the DA Supervisor to schedule dental equipment maintenance.
  • Attend Supervisor Meetings, Clinical Huddles, and monthly meetings.
  • Manage or assign Pre-QA and Post-QA tasks, ensuring monthly report deadlines are met.
  • Performs other duties and responsibilities as assigned.
