Bachelor’s degree or at least 3 years of experience in an administrative assistant, administrative support, project management, or similar role.
Strong project management, organization, and recordkeeping skills.
Ability to communicate clearly with a wide range of audiences, including community members and legislative stakeholders.
Strong research skills and ability to find, evaluate, and present accurate information.
Comfort using technology to manage workflows, including Microsoft Office, Adobe, Smartsheet, DocuSign, email marketing tools, and cloud-based filing systems.
Customer service mindset with the ability to create a positive experience for external partners and internal teams.
Ability to work independently and collaboratively across multiple teams and cross-functional projects.
Ability to use discretion and sound judgment in a statewide, bipartisan environment.

Experience supporting events, community events, or promotional events.

Job Description
An employer is looking for a part-time Administrative Coordinator to support their External Affairs and Marketing & Communications teams on a temporary, one-year basis. This role will provide administrative, logistical, and project coordination support to help the teams manage a growing volume of partnership, promotional, communications, and outreach work. The organization is focused on building pathways to high-demand STEM, healthcare, and trade careers for Washington students while helping local companies access diverse talent.
This person will report to the Senior Executive Assistant and will receive assignments from the External Affairs and Marketing & Communications teams. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working across multiple teams and stakeholders. They should be able to manage competing priorities, communicate clearly, and take ownership of administrative workflows in a hybrid environment.
This role will be based in Seattle, WA and will operate on a hybrid schedule. The position is expected to work a minimum of 20 hours per week, with some periods requiring up to 30 hours per week depending on team needs. The candidate should be comfortable working onsite at least two days per week, with occasional additional onsite requirements based on projects and team schedules.
Responsibilities
Provide logistical support to external partners and internal staff for more than 100 promotional events across Washington state.
Support portfolio management for the organization’s external partner network, including research, reporting, Salesforce tracking, and coordination with the Development team.
Help refine systems and processes to improve communication, information flow, portfolio reviews, forecasting, and team coordination.
Track and manage incoming requests for the External Affairs and Marketing & Communications teams, including communications plans and project workflows.
Support the execution of major Development communications campaigns.
Manage promotional collateral inventory, maintain tracking databases, place orders, and coordinate pickup with local print vendors.
Provide strong customer service and consistent follow-up to external partners and internal staff.
Assist with additional administrative and project coordination duties as assigned.
