Our team is growing, and we’re seeking an Intake Specialist who will serve as the first point of contact for potential clients and play a vital role in building trust, gathering critical case information, and ensuring a smooth onboarding process.

Position Overview:

The Intake Specialist is responsible for managing inbound and outbound client engagement, securing new client relationships, and collecting all necessary documentation to initiate the legal process. This position requires excellent communication skills, attention to detail, empathy, and the ability to thrive in a fast-paced, client-centered environment. Key Responsibilities:

  • Client Contact & Conversion:
  • Serve as the first point of contact for potential clients by phone, email, or online inquiries.
  • Conduct intake interviews to assess case viability of their personal injury case and secure new client relationships.
  • Explain the firm’s services, process, and fee structure to potential clients in a clear and compassionate manner.
  • Document Collection & Case Setup:
  • Obtain and organize key documents such as police reports, medical records, insurance information, liability documents, and signed retainer agreements.
  • Accurately enter client data and case details into the firm’s case management system.
  • Client Communication & Support:
  • Provide a superior client experience with every interaction to build client trust and confidence in our ability to serve them well
  • Handle inbound calls from existing clients to provide updates, answer questions, and route calls as needed.
  • Maintain a high level of professionalism and empathy in all client interactions.
  • Follow up with potential clients who have expressed interest but have not yet retained the firm.
  • Administrative & Team Support:
  • Maintain detailed and organized electronic client files.
  • Assist with intake reporting, data tracking, and workflow improvements.
  • Collaborate with marketing and legal teams to streamline the intake process.
  • Working in a collaborative, team oriented environment, this role is an onsite location with working hours of 9-6pm and/or 10-7pm.

Qualifications:

  • 2+ years of experience in client intake, customer service, or legal support (personal injury experience preferred).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office and case management software
  • Empathy, professionalism, and a client-focused mindset.
  • Bilingual (English/Spanish) preferred but not required.

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
