JOB OVERVIEW

ACF is seeking a highly motivated, organized, and experienced Project Manager to effectively lead cross-functional projects and drive change management initiatives to support successful user adoption and sustainability. Initially, this position will support the development of the executive team’s technology project charter, inclusive of the charter’s strategic planning and execution process. The project manager will support the implementation and adoption of an enterprise-wide technology solution for our day-to-day work and client servicing, spanning accounting, donor and grants management, CRM and reporting.

Following the implementation of enterprise-wide technology, the position will transition to planning, managing, and executing cross-functional projects aligned with ACF’s strategic objectives and evolving organizational needs.

The ideal candidate brings a proven track record of success in fast-paced and start-up environments, communicates effectively with diverse stakeholders, and fosters a culture of joyful excellence and accountability through standardized management practices. They demonstrate strong emotional intelligence, enabling them to build trust, navigate complexity, and lead with clarity and empathy. This role reports to the Director of Compliance and Operational Effectiveness.

RESPONSIBILITIES

Project Management

  • Serve as a liaison between both operations and technical teams to drive effective, timely solutions that fulfill both strategic and operational goals.

  • Develop and maintain detailed project plans, timelines, and budgets related to enterprise-wide technology implementation and other assigned projects.

  • Facilitate change management and adoption processes with a cross functional team of stakeholders including upgrading software or technology, improving workflow efficiency, and developing enterprise level reporting and workflows.

  • Lead, coordinate or support projects with internal ACF staff, donors, fund managers, grantees, and other end users.

  • Ensure that the delivery of services by external vendors meets all design requirements, and improvements occur within a defined timeline and cost constraints.

  • Proactively identify project risks, issues, and dependencies.

  • Monitor and report progress related to all active projects and risks to senior leadership and relevant stakeholders.

  • Lead collaborative processes and leverage strong communication skills to ensure all ACF stakeholders stay aligned and achieve key milestones throughout the lifecycle of each project.

  • Design, plan, manage, and execute cross-functional projects in line with ACF’s strategic objectives related to our growing team and expanding service lines.

Technical Collaboration with External Vendors

  • Collaborate with internal and external stakeholders to ensure high-quality deliverables by external vendors.

  • Collaborate with vendors to support the gathering and documentation of business requirements, workflows, and objectives for the evaluation, selection, design, and implementation of potential solutions.

  • Collaborate with vendors and system admins to ensure proper configuration, customization, and deployment of each technology solution and its components.

  • Conduct gap analysis and recommend solutions to optimize internal processes.

  • Responsible for ongoing optimization of system performance and staff/client utilization.

  • Partner with IT to ensure compliance with security standards and best practices.

  • If applicable, engage additional external vendors to meet the needs of implementation projects for emerging initiatives for ACF.

Change Management and User Adoption/Training

  • Support organization wide project adoption by leading a people-first change management process that delivers meaningful results for each stakeholder group and builds confidence through clear communication and effective training.

  • Facilitate the development and execution of change management plans and frameworks at ACF, serving as a change manager through both formal and informal approaches.

  • Support change management efforts including change readiness assessments, stakeholder surveys, focus groups, and communication planning.

  • Communicate effectively with stakeholders, addressing their concerns and providing timely updates on all active cross-departmental projects.

  • For any assigned project or improvement initiative, use a variety of methods, robust data collection and analysis, and development of implementation plans and process monitoring.

  • Oversee development of documentation including system architecture, user guides, and/or training materials, etc. for any technology implementation to end users.

  • In collaboration with client services team, develop and implement rollout of enhanced user experiences in upgraded technology solutions to clients and partners, including comprehensive training programs.

  • Facilitate user testing to ensure all deliverables meet project requirements, including both internal and external stakeholders (e.g., fund managers, grantees, donors, other staff or contractors).

  • Establish a continuous feedback loop following implementation to capture learning from real user experiences. Synthesize feedback and efficiency data to generate actionable insights. Based on the insights, create pathways for adapting workflows and exploring process optimizations that enhance user-centered experience.

  • Continuously refine training content to support user adoption of workflow and software solutions, incorporating insights from user feedback and testing.

  • Partner with leadership to develop long-term support and management systems for ongoing technical assistance of new technology/software solutions onboarded in the enterprise-wide technology project and subsequently assigned projects directly managed by the Project Manager.

MINIMUM REQUIREMENTS

  • 4-6 years of relevant project management experience

  • Dedication to the mission and values of ACF

  • Exposure to large-scale ERP, CRM, HRIS, and customer service application digital transformation projects.

  • Proven track record in project management and user adoption roles.

  • Demonstrated experience in effectively collaborating with technology vendors.

  • Strong experience managing cross-functional teams.

  • Exceptional analytical and problem-solving skills.

  • Excellent communication, facilitation, and interpersonal skills.

  • Capable of working with both technical and non-technical stakeholders.

PREFERRED QUALIFICATIONS

  • Project Management Certifications such as PMP certification is highly desirable.

  • Bachelor's degree in project management, business administration, Information Technology or a related field.

SALARY & BENEFITS

The starting salary for this position is $100,000 - $125,000 commensurate with experience. This position will be remotely based, but will require domestic travel, as needed, including the Foundation’s retreats.
