Customer Services Representative: Client Provider
Seeking a dedicated and compassionate Customer Service Representative to join our team in the Durable Medical Equipment (DME) industry. In this role, you will be responsible for assisting patients, caregivers, and healthcare professionals with product inquiries, order processing, insurance verification, and general support.

Additionally, you will coordinate the scheduling and routing of field technicians to ensure timely delivery, setup, and maintenance of medical equipment. The ideal candidate will have excellent communication skills, attention to detail, and a strong commitment to providing outstanding customer service.

MINIMUM QUALIFICATIONS:

  1. Ability to file, perform accounting functions, maintain records, understanding of reimbursement requirements, good typing and telemarketing skills.
  2. Skills: Basic MS Excel, Word and 10-key skills required.
  3. High school education required with minimum two years junior college (all business courses) preferred.
  4. Effective verbal and written communication skills.
  5. Knowledgeable in all major insurance carrier reimbursement guidelines and eligibility for coverage by third party payers.
  6. Performed in conjunction with effective verbal and written communication skills.
  7. Must be organized and detail oriented.

Responsibilities
DUTIES/RESPONSIBILITIES:

  1. Adhere to and implement company policies and procedures and compliance with all accreditation standards.
  2. Take all appropriate actions to ensure company compliance with applicable laws and regulations.
  3. Meet monthly with manager/owner to report on all successes/failures.
  4. Ensure the Certificate of Medical Necessity (CMN) and other documentation requirements are procured in a timely manner.
  5. Provide counseling and guidance to staff, as needed.
  6. Monitor company’s quality improvement activities and program.
  7. Responsible for accurately loading all patient information into the working system, generating all delivery paperwork for sales, rental & service orders, providing a high level of customer service to patients, referral & pay sources.
  8. Responsible for maintaining a strong working knowledge of products & services, funding sources and company policies & procedures.
  9. Develop and maintain a strong understanding of specific requirements of contracted providers.
  10. Is responsible for maintaining patient files as specified in company policy, and other tasks as required.
  11. Scheduling for Service Repair with Field Technician and patient.
  12. Participating in Continuing Education Courses to increase knowledge and Productivity in topics such as: Medical Terminology, Funding Sources Criteria, Computer training, Complex Rehab –Equipment (General Knowledge), Customer Service –Phone skills/Handling Complaints.
  13. Respond quickly and professionally to customer inquiries and complaints.
  14. Be responsive and courteous to all telephone inquiries.
  15. Ensure compassionate and positive interactions with customers.
  16. Understand and practice the rules regarding patient confidentiality, HIPAA, and compliance and safety.
  17. Deal effectively with stress, maintaining calmness when crisis situations occur.
  18. Interact with and be a positive influence on co-workers.
  19. Take the initiative to improve processes and communication in the workplace.

PHYSICAL DEMANDS:

  • Sitting, standing, and walking in the office and throughout facility Operation of office machinery and equipment
  • Occasionally lift/move items up to 40 pounds
  • Visual abilities to include reading, distance vision and peripheral vision
