Job Summary:
The Onboarding Specialist is responsible for ensuring a smooth and compliant onboarding experience for new hires. This role supports HR operations by coordinating new hire paperwork, conducting orientation, and ensuring all employment eligibility requirements—including Form I-9 verification—are completed accurately and on time.
Key Responsibilities:
- Coordinate and manage the end-to-end onboarding process for new employees
- Prepare and process new hire documentation, including offer letters and onboarding packets
- Complete and verify Form I-9 and ensure compliance with federal employment eligibility requirements
- Maintain accurate and confidential employee records in HR systems
- Conduct or support new hire orientation and first-day readiness
- Communicate with new hires regarding start dates, documentation, and onboarding steps
- Partner with HR, hiring managers, and IT to ensure timely system and equipment access
- Track onboarding progress and follow up on missing or incomplete documents
- Ensure compliance with company policies and labor regulations
- Provide administrative support to the HR team as needed
Skills & Qualifications:
- Experience in HR, onboarding, or administrative support preferred
- Knowledge of I-9 and employment eligibility verification processes
- Strong attention to detail and organizational skills
- Excellent communication and customer service skills
- Ability to handle confidential information with professionalism
- Proficiency in Microsoft Office or HRIS systems
- Ability to manage multiple tasks in a fast-paced environmen
