Position Summary
The Administrative Clerk is responsible for providing administrative and customer service support related to order processing, shipping, invoicing, and documentation. This role serves as a primary point of contact for customers, sales staff, and internal teams regarding shipments and related inquiries, while ensuring accuracy, timeliness, and compliance with company policies.
Essential Duties and Responsibilities
- Perform daily order verification and invoicing
- Generate Bills of Lading for all outbound shipments
- Field customer calls regarding Material Test Reports and Pro numbers
- Maintain accurate filing and documentation related to customer orders
- Process RGA paperwork in a timely manner
- Assist with routing of all LTL and truckload shipments
- Communicate with corporate office regarding standardized shipping policies
- Relay Accounts Receivable (AR) information to corporate for tracking inbound stock
- Serve as the primary point of contact for all shipment-related inquiries from customers and sales staff
- Receive and invoice incoming shipments
- Research and resolve problems or issues that arise in the field
- Assist with branch transfers as needed
- Answer and direct all incoming telephone calls professionally and courteously

- Polite, friendly, and tactful demeanor when handling complaints, inquiries, or problem resolution
- Excellent customer service skills
- Accurate typing and strong computer proficiency
- Professional phone and email etiquette
- High attention to detail and organizational skills
- Ability to multitask and work effectively in a fast-paced environment
Education and Experience
- High School Diploma or GED required
- Minimum of 1 year of relevant administrative or clerical experience
