Job Summary:The Customer Service Representative will be the first point of contact for customers, providing essential support in quoting parts and pumps, processing orders, handling warranty claims, and addressing billing issues. The role requires excellent phone and communication skills, ERP and CRM system familiarity, and a customer-first mindset. This is a virtual interview opportunity and experience with Microsoft Dynamics or similar systems is a plus.
Job Responsibilities:
- Serve as the initial contact for customer inquiries and support
- Provide part, pump, and motor price quotes
- Process part and pump orders via ERP-LX (Order Entry system)
- Maintain and update Quote Log and Production Order Log Tracking Database
- Handle warranty claim processing and credit memo/no-charge adjustments
- Prepare and maintain customer communication folders
- Update customers on order status and handle change order requests (e.g., address, schedule, carrier changes)
- Support sales teams with customer service activities
- Perform export compliance-related tasks as necessary
- Assist in AR collections and dispute resolution
- Adhere to ISO9001 Customer Service Procedures and Work Instructions
- Perform other tasks as assigned by the Customer Service Manager
Required Skills:
- Strong written and verbal communication skills
- Excellent phone etiquette and customer engagement
- 1-3 years experience
- Knowledge of MS Office applications (Word, Excel, Outlook)
- Strong financial/accounting skills
- Problem-solving and organizational skills
- Ability to work in a fast-paced, team-oriented environment
Preferred Skills:
- Experience with SAP or CRM systems
- Experience with Microsoft Dynamics or other ticketing/service management systems
- Understanding of ERP systems, preferably ERP-LX
- Exposure to export compliance and documentation processes
Education:High School Diploma requiredAssociate’s Degree or some college experience preferred
