Job DescriptionProvide administrative and secretarial support to the daily operations of the CEO’s Administrative Assistant and the members of the Executive Leadership Team (ELT) in an organized and accurate manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Make, answer, and handle phone calls.
Leave, take, and route messages, ensuring matters are properly addressed and resolved.
Coordinate and schedule meetings and/or events, prepare meeting rooms, equipment, food, and required materials.
Produce information as requested or deemed pertinent, including but not limited to:
a. Prepare and draft reports, presentations, letters, quotations, proposals, communications, and other documents.
b. Receive, read, research, and route correspondence addressed to the CEO’s Administrative Assistant and/or ELT members.
c. Research and gather necessary data for the proper handling and resolution of business matters, inquiries, contracts, among others.
Coordinate logistics for visits to company facilities.
Greet and assist visitors and clients who call or visit the company’s physical facilities, addressing their needs and requests for information, procedures, or professional support promptly, ensuring a courteous and professional experience.
Organize, copy, file, digitize, and maintain up-to-date documents and records.
Manage email correspondence, responding or redirecting as appropriate.
Maintain office supply inventory and place orders as needed.
Provide necessary reminders to ELT members for effective schedule management.
Support the management and follow-up of specific projects.
Organize travel itineraries, book flights, lodging, and transportation for executive staff and other employees as needed.
Assist in the preparation and distribution of internal communications.
Serve as point of contact and follow-up between company members and the advertising agency, architectural firms, and other vendors.
Collect and analyze data, prepare, and submit reports as appropriate or requested.
ACADEMIC PREPARATION
Bachelor’s Degree in Business Administration or related field.
PROFESSIONAL EXPERIENCE
Minimum of two (2) years of experience working as an Administrative Assistant, Executive Assistant, or in a direct support role to management.
