Title: Administrative Assistant – Accounting Office (On-Site, Flexible Hours & Tax Season OT)

Overview:
An established accounting firm is seeking an experienced Administrative Assistant to support day-to-day operations and streamline workflow. This role is ideal for a proactive individual with at least 2 years of office administration experience in an accounting or tax office.
Key Responsibilities:

Schedule Management: Coordinate appointments, events, and calendar activities.

Front Office Duties: Greet visitors, manage inbound telephone calls, and handle email correspondence.

Administrative Support: Implement and maintain filing systems (both digital and physical), document scanning, and office supply organization.

Accounting Assistance: Process tax returns, manage secure client portal uploads, and assist CPAs, accountants, and bookkeepers.

General Office Tasks: Track workflows, handle mail and payments, and support new staff onboarding.
Qualifications:

Minimum 2 years of administrative experience in an accounting/tax office.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities with acute attention to detail.

Proficiency in Microsoft Office (Outlook, Excel) and experience with web-based platforms (Mango Billing, Calendly, JotForm).

Ability to work independently and proactively troubleshoot to improve processes.
Additional Details:

This is a fully in-office role with flexible weekday hours.
-
Weekend availability is required during tax season; overtime is paid for hours over 40 per week.
