Role Overview
This role reports directly to the Senior Manager, Sales Support & Supplier Relations and is an integral part of a specialized team that focuses on delivering wine and adult beverage solutions for the transportation industry. Responsibilities include managing inventory, overseeing sample processes both inbound and outbound, managing information, and handling various administrative functions.
Main Duties and Responsibilities
Alcoholic Beverage Inventory Management
· Incoming Sample Management - requesting samples for all RFP’s, processing required paperwork, tracking samples, opening boxes, clearing debris, logging in the wines and notifying suppliers of receipt & any discrepancies.
· Management of shipping documentation for suppliers outside the US including COLAS & other logistic requirements.
· Outgoing Sample Management – labelling, packing, shipping, tracking submissions, & status communications to Account Directors
· Manage sample requests for new suppliers / new items (outside of RFP’s) & logging of information on Ongoing Tasting Sheet
· Manage the digital filing system for the Wines Sourcing Team.
· Control updates on Wine Supplier Database
· Maintain historical selection history documents for all airlines & cruise lines
· Update and distribute confirmation of Sale / Spec Sheet Reconciliation Document
· Record monthly Team call minutes
· Provide support to wines sourcing team in the manner of researching information, Ad hoc web research of retail pricing, labels, tasting notes, tech sheets etc.
· Assist with scheduling and coordinating special events and industry trade shows where needed (eg. Vin Expo, Prowein, IFSA).
· Additional duties and projects as assigned
Experience and Skills
· Bachelor's degree in Business Administration or related field preferred but not required
· 2+ years of experience in a similar role, supporting a team
· Strong organizational and time management skills
· Excellent written and verbal communication skills
· Proficiency in Microsoft Office Suite with a focus in Excel
· Ability to work independently and as part of a team
· Strong attention to detail and accuracy
· Experience in the wine or beverage industry is preferred but required
· Knowledge of sales and marketing principles is preferred but not required
· Previous experience in a customer service role
