Job Summary
We are seeking a highly skilled and proactive Executive Assistant to support a fast-paced, growing business to provide comprehensive administrative and operational support directly to the Chief Executive Officer of our client company. This is a critical role for an individual who thrives in a fast-paced environment and possesses the strategic mindset to anticipate needs and drive efficiency.
Key Responsibilities
- Complex Schedule Management: Strategically manage and maintain the CEO's dynamic and complex calendar, prioritizing competing demands, resolving conflicts, and ensuring optimal time utilization.
- Proactive Gatekeeping: Serve as the primary filter, gatekeeper, and liaison for all internal and external communication directed to the CEO, making informed and decisive judgment calls regarding access and urgency.
- Correspondence: Manage all executive-level correspondence, drafting and preparing sensitive emails, presentations, and documents with impeccable professionalism and discretion.
- Domestic & International Travel: Expertly plan, book, and manage all aspects of international and domestic travel, including complex multi-leg itineraries, flights, ground transportation, and hotel reservations.
- Expense Management: Prepare and process detailed expense reports and manage invoices related to the CEO’s office.
- Event Planning: Take ownership of all administrative and logistical aspects of internal and external events.
- Mastery of Microsoft Suite: Demonstrate expert-level proficiency in the entire Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) to create and edit high-impact presentations, reports, and spreadsheets.
- Information Management: Organize and maintain highly confidential files and information, ensuring absolute discretion and compliance.
Qualifications
- Experience: Minimum of 2 years of recent experience directly supporting a C-level executive (CEO, COO, President) in a dynamic, high-growth, or demanding corporate environment.
- Ambiguity Tolerance & Problem-Solving: Proven ability to operate effectively with a high degree of ambiguity, synthesize incomplete information, and independently implement proactive, solution-oriented strategies.
- Proactive Ownership: A demonstrated track record of anticipating executive needs, preemptively addressing issues, and taking full ownership of tasks from conception to completion without constant supervision.
- Professional Resilience: Exceptional composure, professional resilience, and the ability to maintain a positive, efficient demeanor while managing demanding responsibilities and tight deadlines.
- Communication: Excellent verbal and written communication skills .
