Job Summary
We are seeking a friendly, organized, and motivated Administrative Assistant to support our office and project teams. This is an excellent opportunity for someone beginning their administrative career who enjoys helping others, staying organized, and learning new skills.
The ideal candidate is dependable, eager to learn, detail-oriented, and comfortable juggling a variety of office responsibilities. This position offers significant opportunities for growth into more advanced administrative, marketing, business development, bookkeeping, or project coordination roles.
Responsibilities
- Greet visitors and answer incoming phone calls professionally.
- Receive, sort, and distribute incoming mail and deliveries.
- Monitor and respond to general office emails.
- Assist with scheduling meetings and maintaining calendars.
- Prepare, format, print, scan, and organize documents.
- Maintain organized digital and physical filing systems.
- Assist with data entry and maintaining company records.
- Order and organize office supplies and keep common areas stocked.
- Help prepare meeting materials, presentations, and handouts.
- Assist with proposal packages, reports, and marketing materials.
- Coordinate conference room setup for meetings.
- Run occasional local office errands (mileage reimbursed).
- Assist with company events, lunches, and employee celebrations.
- Provide general administrative support to the management and design teams.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Associate's degree or administrative coursework is a plus.
- Previous office experience is preferred but not required.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint)
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Positive attitude with a willingness to learn new skills.
- Strong attention to detail and ability to follow through on tasks.
- Ability to work independently while also contributing to a team environment.
- Professional appearance and customer service mindset.
- Valid driver's license and reliable transportation.
Key Performance Indicators
- Reliability & Attendance: Arrives on time, maintains dependable attendance, and completes assigned work consistently.
- Organization & Accuracy: Keeps files, records, and office spaces organized while producing accurate work with minimal errors.
- Customer Service: Provides friendly, professional service to clients, visitors, and coworkers.
- Task Completion: Completes assigned administrative tasks efficiently and meets deadlines.
- Initiative & Growth: Demonstrates a willingness to learn, improve, and take on increasing levels of responsibility.
Regular work schedule: 40 hours per week, Monday–Friday, 8:00 a.m. – 5:00 p.m.
Compensation will be based on qualifications and experience. Benefits include health insurance, Health Savings Account (HSA), Dental, 401(k) retirement plan, Life Insurance, Short Term Disability, paid personal leave, and paid holidays.
