Pay: $17.00 – $21.00 per hour (based on experience)
Job Type: Full-Time or Part-Time
Training: 2–3 weeks paid training at our Claremont location

We are seeking a Patient Care Coordinator who understands that first impressions, communication, and organization directly impact patient trust and long-term relationships.


Position Overview

The Patient Care Coordinator is the front-facing ambassador of HēBē Skin Health. This role is responsible for delivering a seamless, high-touch patient experience from the first interaction to post-visit follow-up. You will manage scheduling, patient communication, administrative workflows, and support the clinical team to ensure every patient feels informed, valued, and excited to return.

This is not a passive front desk role. We are looking for someone polished, proactive, detail-oriented, and comfortable in a fast-paced luxury environment.


Key Responsibilities

Patient Experience & Communication

  • Welcome patients with warmth and professionalism, setting the tone for a luxury experience
  • Manage patient check-in and check-out with efficiency and attention to detail
  • Answer phones, texts, and emails in a confident, friendly, and on-brand manner
  • Educate patients on services, pricing structure, pre/post-care instructions, and office policies
  • Handle patient questions or concerns calmly and solution-oriented

Scheduling & Office Operations

  • Schedule, confirm, and optimize appointments to support provider efficiency and revenue flow
  • Maintain accurate patient profiles, notes, and documentation within our CRM/EHR systems
  • Process deposits, payments, and assist with checkout as needed
  • Support daily clinic flow and assist with administrative tasks to keep operations smooth
  • Assist with inventory, retail transactions, and general office upkeep when needed

Team Collaboration & Brand Standards

  • Communicate clearly with providers and leadership to ensure continuity of care
  • Uphold HēBē’s luxury standards in presentation, language, and professionalism
  • Follow internal SOPs for patient communication, booking, and documentation
  • Support marketing initiatives such as events, promotions, and patient follow-ups when needed


Qualifications & Requirements

  • Previous experience in a medical office, med spa, or luxury hospitality setting strongly preferred
  • Willingness to complete 2–3 weeks of paid training at our Claremont location
  • Strong interpersonal and communication skills (verbal, written, phone etiquette)
  • Highly organized with the ability to multitask in a fast-paced environment
  • Comfortable using scheduling software, CRM systems, and office technology
  • Sales confidence and ability to speak about treatments and services professionally
  • Detail-oriented with a strong sense of accountability
  • Self-motivated, dependable, and team-focused
  • Passion for aesthetics, skincare, and patient-centered service is a plus


Schedule

  • 8-hour shifts
  • Tuesday, Wednesday, Friday, Saturday (as needed)
  • No nights
