We are seeking a detail-driven professional to support vendor administration, company purchasing card operations, and employee expense compliance. This role plays a key part in maintaining accurate third-party records, supporting financial controls, and ensuring alignment with internal policies and federal reporting requirements. The ideal candidate is organized, service-oriented, and comfortable working across finance, procurement, and operations teams.
Key Responsibilities
Vendor & Third-Party Administration
- Maintain and update supplier records within internal systems
- Collect and review required documentation to support vendor onboarding and payments
- Ensure adherence to federal tax reporting standards related to reportable payments and classifications
- Monitor documentation accuracy and resolve discrepancies as needed
Corporate Card & Access Management
- Support the administration of company travel and purchasing card programs
- Process user access requests and card applications
- Monitor card activity, adjust limits, and respond to usage or security issues
- Prepare usage and compliance reporting for internal stakeholders
Expense Review & Policy Compliance
- Review employee expense submissions for accuracy and policy alignment
- Provide guidance on expense procedures and documentation requirements
- Identify irregularities and escalate concerns in accordance with internal controls
Internal Support & Collaboration
- Serve as a point of contact for inquiries related to vendors, payments, expenses, and card usage
- Deliver timely, professional support to employees and external partners
- Collaborate with cross-functional teams to improve processes and resolve issues
Qualifications
- Experience in vendor administration, expense management, corporate card programs, or financial operations
- Working knowledge of U.S. tax reporting requirements related to third-party payments (e.g., 1099 reporting, classifications, withholding)
- Familiarity with expense management and procurement systems
- Strong attention to detail and organizational skills
- Clear written and verbal communication abilities
- Ability to manage multiple priorities in a deadline-driven environment
- Proficiency with standard office tools (Excel, Word, Outlook)
Pay Details: $25.00 to $37.00 per hour
