Location: Tampa, Florida (Fully On‐Site; frequent travel to Manatee County office)

About the Role
The Office Manager is a critical member of the administrative and operational support structure for the Tampa and Manatee offices. As the key point of contact and the central hub for daily office operations, this role provides essential support to Operations, Business Development, Terminals, and internal leadership.

What You’ll Do
Office & Administrative Management:

  • Serve as the main point of contact for internal and external stakeholders.
  • Support operations staff with scheduling, time‐off requests, and workforce coordination.
  • Manage office structure, supplies, communication flow, and administrative tasks.
  • Maintain accurate employee and operational records, including permits and contracts.

Logistics & Operational Support:

  • Support logistics documentation, including Bills of Lading (BOLs) and shipping records.
  • Assist with document review, compliance tracking, and record retention.
  • Provide day-to-day support to Operations, Terminals, Maintenance, and Business Development teams.
  • Maintain understanding of logistics workflows, transload operations, and port/warehouse activities.

Business Process & Analysis Support:

  • Gather and document business requirements from internal stakeholders.
  • Analyze workflows and identify opportunities for process improvement.
  • Document process maps, user stories, and operational requirements.
  • Assist with solution design alongside technical teams.
  • Support testing, change management, and post-implementation follow-up.

Cross-Functional Collaboration:

  • Coordinate with Sales and Business Development teams to support operational readiness.
  • Collaborate across departments to streamline communication and workflow.
  • Maintain flexibility in a fast-paced, changing work environment.
  • And other assignments and tasks as required.


Who You Are:

  • Experienced in logistics, supply chain, operations, or terminal/warehouse environments.
  • A proactive self-starter who thrives in fast-moving settings.
  • Organized, adaptable, and comfortable managing multiple priorities at once.
  • Positive attitude with a collaborative, service-oriented approach.
  • Strong communicator with excellent interpersonal skills.
  • US-based candidate (no sponsorship)
  • Bilingual (Spanish) strongly preferred.


Qualifications

  • Education & Experience:
    • Associate’s or bachelor's degree in business administration, operations, logistics, or a related field. Industry-specific experience acceptable as a substitute.
    • 3–5+ years of office or operations management experience within logistics, transportation, warehousing, or distribution.
    • Strong working knowledge of logistics documents and workflows (BOLs, scheduling, etc.)
  • Technical Skills:
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
    • Familiarity with HubSpot is an advantage.
  • Soft Skills:
    • Adaptable, open to feedback, and comfortable navigating shifting priorities.
    • Strong organization, communication, and follow-through.
    • Able to work independently while collaborating across teams.


Work Environment & Physical Requirements

  • Must be comfortable working in a fast-paced, dynamic environment where priorities may shift.
  • This role requires prolonged periods of sitting at a desk and working on a computer.
  • Ability to occasionally lift up to 15 lbs for office-related tasks.
  • Occasional extended hours during peak times.

Compensation & Benefits

  • Competitive salary: $50,000–$70,000/year (based on experience).
